  • These positions may be eligible for telework hybrid and available for a flexible work schedule. In-office work is required at a minimum of 1-2 days per week depending on workload needs. We seek diverse and driven problem solvers to join our team.

The Washington State Department of Corrections (DOC) is seeking analytical, highly motivated, and qualified individuals to fill non-permanent Correctional Records Technician (CRT) positions within the West 2 Tacoma Records Unit located in Tacoma, WA. These positions provide an introduction into sentence calculations for DOC and have the opportunity for growth. It’s a terrific opportunity for anyone with data entry skills who enjoys problem solving, research and has an eye for detail who desires a career in the criminal justice field. These non-permanent appointments are anticipated to last up to twelve (12) months but may have the option to become permanent.

Duties

As a custodian of incarcerated and supervised individual records, the Correctional Records Technician (CRT) will perform duties in the Correctional Records Office to ensure compliance with appropriate laws and agency policy. The CRT contributes to the agency’s mission to improve public safety by entering, auditing, and interpreting, on behalf of the agency, the legal documents that hold incarcerated individuals within the agency’s facilities and/or supervised individuals under the jurisdiction of the Department of Corrections for appropriate confinement and supervision within the community.

Work Assignments Include:
  • Complete initial, second or release audits as necessary for sentence structure and release from re-entry confinement.
  • Resolve any problems related to sentence structure and time accounting.
  • Prioritize Incoming incarcerated individuals by ERD and PRD.
  • Complete appropriate incarcerated individual's records paperwork.
  • Update Prison Movements by verifying, entering or updating transfer and admission codes to Reentry facility along with assignment of appropriate CCO.
  • Complete Law Enforcement Notification and Victim Witness notification for transfers and release of incarcerated individuals from the Reentry Facility.
  • Apply Supreme, Appellate, and Superior court decisions, RCWs, and Indeterminate Sentence Review Board redeterminations.
  • Ensure the contents of incarcerated individuals' records are legal and accurate, and maintained in a secure setting following records procedures for central/medical files.
  • Review and verify accuracy of legal documents.
  • Establish and validate agency jurisdiction of incarcerated individuals.
  • Verify electronic database information against source documents.
  • Troubleshoot and problem-solve the use of offender database systems.
  • Audit database information and OMNI records.
  • Verify identification of incarcerated individuals to law enforcement.
  • Implement operational adjustments within the correctional records office.
  • Utilize Microsoft Teams to meet and train virtually in the absence of in-person availability.
  • Utilize, update, and maintain databases and programs.
  • Enter information, sentences, and modifications into the Department's electronic offender database.
  • Correspond with appropriate court or other legal staff.
  • Scan Court and DOC Documents into OnBase Imaging System.
  • Archive incarcerated individuals' records.
  • Process incoming and outgoing mail according to established procedures for Central /Medical files.
  • Maintain confidentiality of information protected by agency policy or federal or state laws.
  • Correspond with DOC staff, incarcerated or supervised individuals and their counsel.
  • Advise management and staff concerning new, existing, and previous laws.
  • Respond to requests for public disclosure.
  • Process criminal history records requests.
  • Testify in court regarding the validity of incarcerated and supervised individuals’ records and identity.
  • Provide direct support to release caseload carrying CRT staff and assistance to CCD’s GRE records and other records units as needed.
  • Mentor other records staff.
  • Participate in unit team meetings and all training.
  • Provide feedback and support to CRS/CRT-L of training needs.
  • Provide assistance in onboard training for new staff as well as assistance with continued on-the-job training as needed.
  • Assist CRS and CRT-L in recognizing staffing coverage issues.
  • Provide support in preparation, training, implementation, and project assignments to agency administrators.
  • Participate in OMNI development and special projects as assigned by the Records Director, Senior Records Manager or RMS.
  • Review Policy and Procedure updates as assigned by the Records Director, Senior Records Manager or RMS.
  • Provide assistance to other specialized records units as workload dictates.
  • In the absence of supervisor/lead complete time sensitive work and urgent issues.
  • Other duties as assigned.

Qualifications

Required Qualifications:
  • High School diploma or equivalent.
  • Must respect and maintain confidentiality.
  • Ability to use independent judgment to accomplish tasks and solve problems.
  • Demonstrated ability to effectively communicate with co-workers, the public, and/or criminal justice agencies.
  • Demonstrate ability to write (including grammar and spelling accuracy) and speak clearly and effectively.
  • Demonstrated ability to analyze and solve problems under highly stressful or adverse situations.
  • Demonstrated ability to learn and utilize computer-based applications in the performance of job duties.
  • Demonstrated mathematical skills to compute complex sentence structure calculations.
  • Ability to work with speed and efficiency shifting attention between tasks.
Preferred/Desired Qualifications:
  • 1 year experience maintaining, processing, entering, and/or calculating sentence structure for incarcerated or supervised individual’s records.
  • Demonstrate knowledge of Washington sentencing laws, DOC supervision types and applicable laws.
  • Knowledge of DOC Policy to ensure DOC jurisdiction.
  • Knowledge of criminal history and or judgment and sentence document processing.
  • Knowledge of the criminal justice system and its related documents.
  • Knowledge of outlook and database entry.
NOTE: Incarcerated or supervised individuals records are defined as records containing certified copies of the original documents relating to the individuals’ crime and sentence. An individual's records are not property files, grievance files, administrative files, treatment files, medical files, slough files, parole files, counselor files, or custody files.

Telework Details

This position may be allocated for telework. Work may be performed from your home or another offsite location within the state of Washington using a reliable internet or cellular hotspot service at that time. Employees are expected to perform assigned duties in a safe manner, to take proper care all state-issued equipment, and maintain confidentiality of all information in possession while working offsite. Employees will be required to commute to a Department of Corrections facility or field office as business requires, to potentially include components of the onboarding process. Some offices will have a “drop in” area available, however, a dedicated workspace within a DOC facility will not be provided.
