School Data Specialist for Superintendent

Annual Salary: $36,552

Major responsibilities include use of productivity software, highly responsible administrative support work directly involved with the overall planning and operation of State Schools program.
ESSENTIAL FUNCTIONS:

The incumbent must have the ability to perform the essential functions below either with or without reasonable accommodation.

1. Enter, update, retrieve data and create statistical reports from student information system.
2. Assists and communicates with school staff on various aspects of the school records management program including report set-up.
3. Provides support to staff on the use of various programs including but not limited to the IEP program and student information system.
4. Produces and interpret queries, statistical and other reports as needed by the Superintendent and other sections.
5. Answer phone calls placed to MSSD and direct calls to appropriate individuals.
6. Provide confidential assistance such as preparing correspondence, compiling data, filing of confidential documents and disseminating information for the Superintendent, Assistant Superintendent and Director for Student Services.
7. Process and maintain files of staff requests and responses for ADA accommodations, correspondence of gift proposals, requests for cooperative transportation agreements, nursing practicum, and use of MSSD buildings.
8. Maintain and update building staff and student census data.
9. Distribute mail to central office personnel.
10. Provide schools with the business continuity plan, school handbook and school calendar.
11. Purge graduate and inactive files.
12. Compile release of information reports.
13. Enter management information quarterly into OA database.
14. Update/post guidebook policies.
15. Schedule meetings for staff.
16. Process requests for student records.
17. Format Guidebook revisions and notify MSSD schools of revisions.
18. Maintain and purge various files.
19. Maintain confidentiality of student personally identifiable information.
20. Safely operate and maintain office equipment appropriately.
21. Follow daily scheduled routine of work activities.
22. Communicate clearly and appropriately with public, coworkers, parents, and school staff, etc.
23. Perform other duties as assigned.
ADDITIONAL RESPONSIBILITIES:
1. Possess working knowledge of Microsoft Word, PowerPoint, Access and Excel.
2. Maintain an orderly, safe, clean, attractive environment.
3. Demonstrate effective problem solving and decision making skills.
4. Lift and move 50 pounds.
5. Knowledge of file maintenance procedures.
6. Participate in staff development activity as necessary to keep skills updated.
EDUCATION REQUIRED/PREFERRED:

1. High school diploma or G.E.D.
2. Four or more years of experience successfully performing progressively responsible support tasks.
3. All applicants must be tested in typing proficiency, typing speed of 55 wpm or better.
4. Supplemental secretarial practice and computer applications courses preferred.
(Other qualifications and experience which, in the opinion of the Commissioner of Education, meet the requirements of the position may be accepted in lieu of the above.)
