Duties and Responsibilities:

Examines documents to determine what categories in the data base to input fees. Assists in research of records and tracking of documents to insure quality control. Validates documents with validation number and document tracking number. Maintains document log. Batches checks and forwards them to Fiscal Office for deposit. Opens and reviews all incoming mail. Assembles documents for validation and image production. Attaches checks to documents ensuring proper fees have been submitted. Batches documents based on type of filings/action, filing fee, and volume of documents. Answers incoming Division calls to assist public with filing information as needed. Pick up processed documents from sections to prep for scanning. Prepares batched documents for scanning. Scans documents on image scanner. Inspects images as documents are scanned for quality assurance. Makes corrections as necessary. Generates production schedules. Operates computer peripheral hardware for production and production control. Opens and reviews incoming mail. Assembles documents for validation and image production.

Assists Senior Section Administrator with executing an application program in the database to generate a bar coded batch cover page. Scanning and logging courier and certified mail. Researching records and tracking documents.

Performs other work related duties as required.

Knowledge/Skills/Abilities:

  • Knowledge of various Division of Corporations filing types and fees
  • Skill in operation of validation and/or scanning equipment.
