 GENERAL SUMMARY

As a Financial Aid Advisor, you are often the first face our students see. You will create lasting impressions and help students succeed by sharing your knowledge of financial aid processes.
 
The Financial Aid Communication & Outreach Coordinator is responsible arranging events and presentations for the financial aid office (such as FAFSA nights, work-study job fairs, financial literacy workshops, classroom presentations, concurrent enrollment outreach, etc.). Initiating, maintaining and collaborating outreach efforts with internal departments as well as community organizations to provide financial aid support is required. They are responsible for organizing and tracking data related to various outreach efforts and student learning outcomes.
 
In addition, this position is in charge of developing communications for the financial aid office, including outgoing student notifications, website disclosures, form updates, and internal communications. This position must demonstrate excellent written and verbal communication skills, attention to detail and initiative to ensure information is accurate and comprehensible. This position works closely with the Financial Aid Assistant Director in maintaining federal compliance on the financial aid website as it pertains to consumer information disclosures.
 
This position works as a front line customer service advisor in a busy, fast-paced environment, ensuring quality, accurate information and excellent customer service is maintained. This position will directly advise students of various aspects of financial aid (i.e., application procedures, scholarship and grant guidelines, federal and private loan requirements, verification documentation, etc.). This position serves as the primary responder to emails received in the financialaid@ccd.edu inbox, and as well as performing routine quality assurance checks on verification.
 
PRIMARY DUTIES
The ability to multi-task and communicate clearly and effectively is critical. This position must maintain an expert knowledge of federal, state, and institutional policies in order to educate a diverse population of students with sensitivity and empathy. Due to the nature of this position, the individual will be called upon to represent the financial aid office, so reliability and professionalism is paramount. Specific duties are subject to change depending on department needs.
 
Advise Students
•Advise students and the CCD/greater community regarding application procedures, scholarship and grant guidelines, federal and private loan requirements, verification documentation, etc.
•Work closely with our scholarship office to effectively support DREAMer students
•Provide excellent customer service to financial aid stakeholders
•In person/phone/email contact
 
Communications and outreach
•Create and maintain forms using FormStack
•Work with directors to create student friendly templates for all outgoing financial aid communications
•Coordinate response to all Release of Information requests within 3-5 days
•Maintain financial aid website including financial aid consumer information disclosures and forms
•Answer incoming emails to the general financial aid inbox
 
Operational duties
•Act as liaison with orientation, recruiters, and first year experience instructors
•Maintain calendar and work to coordinate coverage of outreach events
•Work to promote CCD, knowledge of financial aid and overall financial literacy
•Proactively engage community partners in outreach activities
•Pursue new pathways for CCD to broaden our financial literacy educational opportunities
 
Other duties as assigned
•Track requests and statistics for each outreach event
•Create reports using the tracking information to submit to the Directors, Deans, and VP
•Create customer surveys and prepare evaluations of the data collected for educational outreachMINIMUM QUALIFICATIONS: 
Any equivalent combination of education, experience, knowledge, skills, and abilities.
 
Education: 
Associate’s Degree (Direct financial aid experience may be substituted for the education on a year for year basis, and will not count towards the experience requirement below).

Experience:
2 years higher education experience or 3 years of customer service
 
Knowledge/Skills/Abilities:

• Possess conflict resolution and a strong commitment to quality customer service

Other Considerations: 
Must be available to work during peak periods based on job responsibilities and college calendar. Some weekends and evenings may be required.

SELECTION PROCESS

Preliminary screening will be made on the basis of completed application packet submitted by candidate.
