Position Title: Special Programs & Events Seasonal Assistant/Intern

Department: 2024 Oklahoma State Fair

Reports To:  Special Programs & Events Manager

Pay Range:$12-$14/hr (dependent upon experience)

Job Responsibilities and Requirements

  • Assist the Special Programs and Events Manager with all duties including but not limited to the following:
  • Support the Special Programs and Events Department during the Fair.
  • Assist with execution of all Volunteer events.
  • Develop and distribute credentials, mailings, badges, etc. using mail merge.
  • Attend and take meeting notes for all meetings related to events and volunteers.
  • Schedule all three community stages during the Oklahoma State Fair.
  • Assist performers with the application process for the Bandshell and Patio Stages.
  • Input and manage data for the community stages and Oklahoma State Fair Band Day competition.
  • Field questions and/or resolve problems via phone and in-person.
  • Assist with various area set up and tear down for the Fair.
  • Assist with all special events during the Oklahoma State Fair.
  • Assist in other departments as needed.
  • Other duties as assigned.

Knowledge, Skills and Abilities

  • Excellent communication and leadership skills.
  • Self-motivated and detailed oriented with the ability to complete assignments with accuracy.
  • Ability to work efficiently with minimal or no supervision.
  • Extensive experience of Microsoft software, specifically Word and Excel.
  • Knowledge in Adobe products, such as InDesign and Photoshop Elements, preferred, but not required.
  • Ability to learn industry specific programs.

  • Perform detailed work in a team-oriented, fast-paced, event-driven environment handling multiple tasks with flexibility in a calm, professional manner.
  • Effectively communicate with others in a clear, business-like, respectful and personable manner focused on generating a positive, enthusiastic and cooperative environment.
  • Maintain high standards of appearance and grooming (i.e., clean, wrinkle free clothing, proper uniform/attire, close attention to personal hygiene).
  • Meet the company standard for excellent attendance, job reliability, diligence and dedication.
  • Possess a valid driver license and a clean driving record.
  • Speak, read, and write in English.

Additional Job Requirements – Work Schedule

Flexible daytime hours can be arranged through the end of April, at which time the position becomes full time. Those who take this job MUST be able to work 7 days a week from September 1 – October 1.

April 8 – October 18, 2024 (DATES & TIMES ARE SUBJECT TO CHANGE)

PRE-FAIR HOURS

April 8 – 26, 3 weeks, 10-20 hrs/week

April 29 – August 30, 17 weeks, 40 hrs/week

FAIR HOURS

August 31 – September 27, 4 weeks, 50 hrs/week

*Daily hours vary based on event volume

POST FAIR HOURS

September 30 – October 25, 4 weeks, 40 hrs/week

Physical Requirements and Working Conditions

  • Extended hours, nights and weekends may be required during peak periods.
  • Frequent or continual movement from place to place with normal physical mobility, covering long distances with ease, managing assigned tasks throughout various indoor and outdoor locations within and around the property and in potentially inclement/severe weather conditions.
  • Regularly lift, carry and put away items weighing up to 25 lbs. and occasionally lift and carry heavier items and/or assist others in lifting heavier objects, as job demands.
  • Walk and/or stand for extended periods in addition to other prolonged physical exertions including seeing, hearing, reaching, grasping, lifting, pushing, pulling, squatting, crouching, stooping, bending, kneeling, climbing, and working in awkward positions and tight areas may be required.
