Job Summary

This position is responsible for the coordination of the College’s efforts to procure grant funding from public entities (primarily from governmental agencies) to support the mission, objectives and programs of the College. Activities include searching for potential funding sources that support the College mission and priorities, facilitating the writing and submittal of grant proposals and providing guidance on, and, or management of practical and compliance issues dealing with expenditure of funds, reporting, and interaction with funding sources and partners.

Essential Duties and Responsibilities

Applicants may be asked to demonstrate any or all of the following duties:

  • Leads grant development teams made up of College faculty, staff and others (including representatives from partner institutions); assists the team with formulation of project ideas and design; guides the writing team through internal procedures (ie: creating new staff positions); edits and enhances proposal presentation and contributes original written content when required; works with institutional research to request required data; develops the grant budgets, timelines and other documentation to meet specifications of funding sources, formats and prepares the final proposal and required forms for timely submission.
  • Encourages faculty and staff participation in preparing proposals and administering awarded grants through presentations, recognitions and informal meetings.
  • Works closely with grant project directors, finance staff, and HR to assure fiscal and programmatic success of select grant projects. Activities include monitoring grant budgets and addressing any discrepancies, meeting with grant project directors to gauge program success, assisting project directors with annual and interim reporting, reviewing grant invoices for accuracy, and creating payroll forms for hiring grant-paid staff.
  • Closely monitors grant requirements and leads grant project directors in designing processes to ensure compliance. Activities include but are not limited to development of processes or guidelines for time and effort reporting, asset management, purchasing, and reporting on deliverables.
  • Facilitates the development of collaborative proposals by nurturing existing external relationships established by College, division and departmental personnel (ie: community organizations, business and industry representatives and government entities, as well as educational institutions and economic development groups).
  • Facilitates contact with state, federal and other funding agencies as appropriate and necessary for effective management of potential or funded grants.
  • Reviews and researches databases and other sources for potential funding resources that may support identified College needs and initiatives and makes that information available to appropriate College faculty and staff.
  • Develops and maintains an ongoing grant submission plan for the College, under the direction of the VP Institutional Effectiveness, and the Director, Sponsored Projects.
  • Makes recommendations to College leadership regarding policies and procedures for developing and submitting grant proposals, as well as the successful implementation of awarded projects (including proper administration and documentation for collaborative projects).
  • Provides technical assistance based on Federal and State regulations and guidance on practical and compliance issues dealing with expenditure of funds, reporting and interaction with funding sources and partners.
  • Assists Director, Sponsored Projects with a variety of tasks, including, but not limited to researching data, writing, and editing of reports.
  • Supervises Sponsored Projects Department personnel providing support for the grants function as directed by the Director, Sponsored Projects.
  • Performs other duties as assigned.

Job Qualifications

  • Education/Experience:
Bachelor’s degree from a regionally-accredited four-year college or university; and three years related experience and/or training; or equivalent combination of education and experience.
  • Supervisory Experience:
One to two years of direct supervisory experience, including responsibility for hiring, firing, performance management, training, and coaching is required.
  • Language Ability:
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • Math Ability:
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Ability to apply concepts of basic algebra and geometry.
  • Reasoning Ability:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram/chart, or schedule form.
  • Computer Skills:
Ability to utilize word processing, spreadsheet, and presentation software for creating and/or editing documents, reports and presentations. Basic knowledge of database and web development software preferred. Knowledge of current College database system must be acquired if not already attained.
  • Certificates and Licenses:
None required.
Responsibility for People and Property:
Responsible for department inventory, placing initial orders for supplies and other items as approved by the Director, Sponsored Projects, and for periodic monitoring of grant budgets to determine amount and rate of expenditure per line item.
The job requires supervision of personnel providing support for the grants function.

  • Internal Contacts:
This position has routine contact with all levels of SCF staff, administrators, and faculty.
  • External Contacts:
This position has frequent contact with people outside of SCF, including, but not limited to, funding agencies, educational institutions, social service organizations, business and industry, and the general public.
