Stark & Stark, PC is Hiring a Legal Secretary Near Hamilton, NJ

Responsibilities:

  • Perform the legal support duties of client intake, gathering medical records, preparation of pleadings, discovery demands, discovery responses, and motions and depositions.
  • Schedule depositions, mediations, meetings, and conference calls for the practice group, ensuring proper equipment is set up and appropriate conference rooms are reserved.
  • Professionally answer and handle phone calls courteously and act as client liaison on practice matters.
  • Manage the scheduling of conference calls with attorneys, mediations, court appearances with the clients, expert witnesses, other law firms, management conferences, settlement conferences, oral arguments, mediations, and trials.
  • Work with witnesses and other law firms to produce and coordinate depositions of non-parties.
  • Responsible for managing the calendars for three attorneys in the practice group.
  • Handle miscellaneous administrative duties such as composing correspondence, proofing documents, creating, and distributing office memos, copying, filing, faxing, mailing, and handling general office duties as needed.
  • Handle disbursements.
  • Process expense reimbursements as needed.
  • Sort and distribute department mail.
  • Handle other responsibilities as directed.

Qualifications

  • The right candidate will have at least two years of law firm experience.
  • Experience in Plaintiff’s Personal Injury matters is preferred.
  • Comprehensive knowledge of Microsoft Office is a must.
  • The ideal candidate will be self-directed, and detail oriented with a high level of accuracy.
  • Able to organize and manage multiple tasks in a fast-paced environment.
  • Ability to maintain a high level of discretion, judgment, confidentiality, professional and ethical standards in communications with both external and internal parties.
  • Well organized and able to see an assignment through to successful conclusion.
  • Self-directed; able to think analytically and solve problems with little direction.
  • Able to demonstrate a customer service demeanor regardless of the person or issue at hand.

Abilities

  • Mental reasoning ability to solve problems, make decisions, read, write, interpret, and organize data in a fast-paced environment.
  • Ability to sit or stand at a desk viewing a computer screen for long periods of time, typing on a keyboard.
  • Ability to comprehend information visually on paper and a computer screen.
  • Ability to communicate via a telephone.
  • Ability to multitask with disciplined time management skills.
