Your Opportunity

Stantec is seeking a Project Control Contract Administrator to join our team. This role can be fully remote and is flexible for 24 to 32 hours per week (part-time) with the potential timeline to transition to a full-time position (40 hrs.) after 6 to 8 months per performance evaluation recommendations. We seek team players who desire and thrive in a collaborative work environment, have excellent communication talents, an organization mindset, and strong analytical problem-solving skills. The successful candidate will possess at least one years’ experience in a project support role performing similar tasks. This role requires a willingness to work as part of a team to successfully deliver projects of varying size and complexity.

Your Key Responsibilities

Project planning

  • Collaborate with Project Managers (PM), project team members, project stakeholders, and the client to create project plans, schedules, and resource needs.
  • Facilitate internal setup of new projects and tracking of existing projects.
  • Develop and implement work breakdown structure.
  • Support development of proposal fee estimates.

Communication

  • Assist PM to facilitate subcontracts, coordinate collection and submission of insurance documents, and other contracting requirements.
  • In coordination with PM, develop progress report for documentation with client, internal documentation, and billing purposes.
  • Attend client meetings to record minutes and to track progress of tasks.

Budget tracking

  • Review project charges and coordinate corrections with project team members and accounting as needed.
  • Work with PM and accounting to facilitate timely and accurate invoicing.
  • Process subconsultant invoices and track subconsultant budgets.
  • Prepare various financial status reports and distribute to project team.

Documentation: maintain all project documentation including:

  • Management of SharePoint sites
  • Management of network drive folders
  • Maintain project schedules
  • Meeting minutes
  • Contracts
  • Scope changes and change orders
  • Invoices
  • Change orders
  • Insurance certificates
  • Deliverables
  • Quality Assurance and Quality Control forms and independent review forms

Qualifications

Your Capabilities and Credentials

  • Willingness to learn new tools/systems and processes.
  • Attention to detail and good record keeping skills.
  • Good interpersonal, verbal, and written communication skills.
  • Ability to collaborate in a project team setting and to engage in creative and critical thought.
  • Ability to prioritize workloads to meet deadlines.
  • Basic skills in MS Office.
  • Microsoft Power BI or Oracle Analytics experience preferred.

Education and Experience

  • High School Diploma/GED required.
  • Undergraduate degree desired.
  • Minimum one year of documented experience in contract administrative/financial work.

Typical office environment includes working with computers and remaining sedentary for long periods of time.
