Position Title: Marketing Operations Project Specialist

Reports to: Director

Department: Marketing

Classification:  Full-time, Exempt

Pay: $66,560 - $83,200 annually

The Marketing Operations Specialist will plan and implement the day-to-day execution of existing and new marketing initiatives. These include mailings, tradeshows from the planning phases to execution, marketing collateral maintenance, photo asset management, special events and additional projects as assigned. The successful candidate in this role has potential to evolve into a leadership position within the Marketing Operations organization over 12 - 24 months.

This position will be primarily responsible for:

  • Customer Mailings

oEnsure seamless transition mail pieces from creative team to production team. Communicate production timelines. Confirm mail pieces meet mailing guidelines and brand standards. Facilitate ordering, printing, and mailing list development. Implement by marketing calendar deadlines.

  • Tradeshow Logistics

oPlanning and executing tradeshow logistics, including service orders, supply procurement, securing booth maintenance, packing crates, transportation, scheduling booth assignments, planning team dinners, set-up/teardown, working the booth during the show and interacting with guests.

  • Customer Events

oPlanning and executing special events including securing locations, services, décor, marketing collateral, event implementation and customer interaction.

  • Marketing Collateral Development and Maintenance:

oWork with Marketing Director and creative brand teams to develop, refine, order, and print new materials.

oWork with Fulfillment team to manage, maintain and update existing marketing materials as brand standards evolve.

oManage digital asset library and marketing images for use throughout company. This includes properly tagging images and selecting images for use, orchestrating photoshoots, and maintaining prop library.

oEnsure all collateral meets quality and brand standards.

  • Project Management: 

oDevelop project timelines and production schedules.

oOrganize and manage marketing operations projects from inception to completion in a timely and structured fashion. 

oProvide at least weekly updates on project status and estimated completion to Marketing Director.

oCommunicate effectively, consistently, and timely with customers, graphics designers, printers, photographers, videographers, other vendors, and internal constituencies.

  • Performing other duties and responsibilities as assigned.

Candidate Requirements:

  • Two to four years tradeshow and/or event planning a MUST.
  • Strong initiative and organization.
  • Keen attention to detail.
  • Excellent written, verbal, and interpersonal communication skills.
  • Demonstrated project management skills, including managing multiple projects at once.
  • Strong sense of design and visual composition.
  • High energy/stamina to endure the rigors of tradeshows and event implementation.
  • Customer focused.
  • Ability to work both independently and as a team.
  • Understanding of good database practices.
  • Proficient in MS Word, Excel, PowerPoint, and Outlook.
  • Seasonal evenings, weekends and travel required.

Candidate Preferences:

  • Four to six years overall marketing or related experience.
  • Bachelor's Degree in Marketing.
  • Experience working with outside vendors including designers, photo/videographers, and printers.
  • Experience with Digital Asset Management software.
  • Experience working for a quality-oriented food/beverage producer.

Physical Requirements:

Moderate lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and frequent fine finger dexterity. Generally, the job requires the following percentages of time committed to physical activity: 50% or more sitting, 25% or less walking, and 50% or more standing. The job is performed under occasional temperature variations and in a variety of environments including: office, warehouse, field and off-site events. Unrestricted visual and audio abilities are required for the safety of all employees. The ability to lift up to 45 lbs. is required.
