A Brief Overview
Under the direction and supervision of the Patient Care Manager (or designee) the Unit Secretary (US) supports the clinical team by providing both routine and specialized clerical and administrative support. The US performs clerical and non-medical department duties and prioritizes information, communication, and requests, including effective interdepartmental coordination. The US serves as a point of contact and resource for patients and family members upon initial contact and throughout their stay in the unit.

What you will do
  • Employees must abide by all Joint Commission Requirements including but not limited to sensitivity to cultural diversity, patient care, patients rights and ethical treatment, safety and security of physical environments, emergency management, teamwork, respect for others, participation in ongoing education and training, communication and adherence to safety and quality programs, sustaining compliance with National Patient Safety Goals, and licensure and health screenings.
  • Must perform all duties and responsibilities in accordance with the Service Standards of the facility and organization.
  • Supports the clinical team by facilitating written, in-person, and electronic communication between team members, patients, family members, and interagency partners. Examples include, but are not limited to coordinating phone calls, meetings, virtual communications, care conferences, and document preparation as need.
  • Supports effective department patient flow and timing of patient care activities by facilitating and coordinating patient admissions, discharges, transfers, and off-unit procedures specific to the department needs.
  • Documents and maintains department records per the unit standard, including documentation of admission, discharge, transfer, and off-unit procedure.
  • Contributes to a safe and efficient care environment by ensuring the unit is clean and orderly; in addition, monitors and takes action to remedy broken equipment and missing supplies.
  • Maintains and manages medical record according to hospital policy while observing patient confidentiality. Processes any forms , records per procedures, ensures proper patient identification of all paperwork, has chart available as needed, thins chart and ensures chart is sent to Medical Records.
  • Coordinates with off-site services to arrange courier deliveries and pickup, including but not limited to clinical lab, pathology, supply chain, and pharmacy.
  • May coordinate the transport of the patient to off unit-procedure after consultation with the RN. Arranges transport of the patient to the off unit. Coordinates appointment times for patient.
  • After consultation with RN and approval from Social Work, US may facilitate general external transportation requests (e.g. non-medical transport, taxi voucher, bus token distribution)
  • May confirm patient diet and assist with patient food tray distribution under the direction of a Registered Nurse.
  • Actively contributes to process improvement initiatives at the discretion of the Patient Care Manager (or designee) to improve unit workflows and improve efficiency of unit processes.
  • Prioritizes effectively and seeks additional duties when assignments completed, follows staffing and scheduling guidelines, arrives to work on time, complies with dress code standards, assists with orienting new staff and completes any mandatory training.
  • Responds appropriately in actual or potential emergency events. Notifies appropriate personnel, communicates with other personnel to ensure delivery of immediate care needs and intervenes as necessary with families and staff by working with appropriate interdisciplinary team members.
  • Responds to customer /staff needs in a prompt attentive manner. Handles patient call lights and messages appropriately, notifies Resource Nurse and others of patient flow (admissions, transfers, discharges).
  • Triages all broken and/or soiled equipment to the appropriate department. Assists with keeping the computers clean and plugged in.
  • Works independently, seeking direction when needed, including prioritizing multiple requests at a given time.

  • High School Diploma or GED equivalent

Base Pay Scale: Generally starting at $32.48 - $36.57 per hour

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training. This pay scale is not a promise of a particular wage.
