Job Summary/Scope Performs typing, data entry and miscellaneous clerical tasks for Property Maintenance officers and Property Maintenance Manager. No supervisory or budgetary responsibilities. Essential Duties and Responsibilities Initialize code violation cases Responds to numerous and varied telephone questions relating to property maintenance and other department matters Processes summons Provides customer service on the phone and in the office Processes all billings and payments to contractors Prepares monthly reports Enters payroll information for Property Maintenance division Other Duties and Responsibilities Performs miscellaneous typing projects for department, as needed Performs various filing tasks Performs all other related duties as assigned Employee Behavior and Conduct City employees shall conduct themselves in a professional manner and shall exhibit and extend such professional conduct appropriate for the circumstances to those with whom they come into contact both internally and externally during the performance of their duties. Examples of professional conduct include, but are not limited to, being communicative, informative, fair, honest, and respectful. Required Knowledge, Skills and Abilities Skills in typing, data entry and filing Ability to communicate effectively with the general public and maintain good customer service image in an intense situation Ability to relate professionally and courteously with fellow employees; a positive attitude is essential Knowledge of computers, software packages and printers Knowledge of general office procedures and city property maintenance codes or demonstrated ability to learn within first six months employment One year prior office/clerical experience or related field required Material and Equipment Directly Used Operates basic office equipment including, but not limited to, copy machine, fax machine, and computer. There may be times when use of personal vehicle may be required. Working Environment/Physical Requirements Work is performed in an office setting with a controlled environment. Job is performed primarily at a desk and may include sitting for long periods of time. Other expectations include frequent typing, and maintaining various forms of communication including but not limited to in-person, telephone and email. Work may require the occasional lifting of up to 50 pounds, stooping, kneeling or bending. Vacation and other leave scheduling shall be requested and approved by the appropriate supervisor. Education High School diploma or equivalent. Passing of a drug screening required prior to appointment.
