Job Summary :
We are seeking a detail-oriented individual to join our team as the Parish Operations and Communications Manager. This role will coordinate day-to-day operations and outward-facing communications at two nearby parishes.

The employee will serve the parishes and communities by overseeing, in conjunction with the clergy, the day to day parish operations including building management, financial recording, and general parish administration, as well as the production of digital and print communications.

The ideal candidate will be independently motivated, creative, good with people, extremely comfortable with the use of technology, trustworthy, and discrete.

Qualifications:
- Proven experience in office management or administrative roles
- Excellent verbal and written communication skills

- Strong organizational skills with the ability to prioritize tasks effectively
- Proficient in data entry and using office software applications
- Excellent customer support skills with a professional demeanor

Areas of Responsibility:

Finance

  • Serve as Pledge Campaign Manager, attend stewardship meetings
  • Financial Secretary for donations, and pledge campaigns
  • Oversee tellers and input donations to database
  • Report to bookkeeper

Building Management

  • Serve as primary contact for facility vendors: hvac, fire, alarm system, phone system
  • Order supplies and troubleshoot printers, copier
  • Rental Manager- give tours, get new rentals, manage current rentals
  • Oversee building use schedule
  • Keep track and issue keys based on established practices

Operations

  • Oversee office volunteers (includes scheduling office volunteers and providing task lists for them to complete)
  • Answer phones, check voicemail and prioritize messages
  • Check email frequently and prioritize when and determine how to respond
  • Manage church calendar using Google Calendar
  • Maintain office supplies and submit orders as needed
  • Work with ministry leaders to produce the ministry team schedules
  • Maintain databases including parishioner information, equipment information, worship and sacramental records, email lists, staff time off, mailing lists and vendor lists
  • Keep a current file of Vestry minutes in conjunction with the Clerk of the Vestry
  • Welcome parishioners, guests, and vendors

Communications

  • Create, using Rite Planning and Microsoft Office programs, worship guides/bulletins for weekly and occasional services
  • Send out weekly emails to the congregation utilizing Mailchimp
  • Send out paper mailings as needed
  • Maintain bulletin boards by keeping information current and approving flyers to be posted
  • Coordinate with Communications committee on marketing and press releases
  • Music Reporting for print and livestream licensing
  • Assist in developing the annual Parochial Report

Compensation and Benefits

  • Compensation: The Parish Operations and Communication Director is paid an hourly rate of $20 for 28 hours each week. Compensation and hours will be reviewed annually.
  • Schedule: Daytime Monday through Friday, regular schedule to be negotiated between employee and employers. Occasional request for attendance at special events.
  • Holidays and Times of Leave: The employee is entitled to all legal holidays off, as they fall on a given work day. In addition, the employee is entitled to an equivalent of three weeks paid vacation per calendar year (15 compensated “work days”). Medical and/or Family Leave, as necessary, will be granted after consultation and approval of the Rector.
  • Continuing Education: The employee shall receive one week of continuing education time for pertinent training/education per year at a mutually agreed upon time with the Rector. The employee can apply for up to $400 to offset costs associated with continuing education.
  • Pension: The employee is enrolled in a pension plan equaling 5% of salary. Up to an additional 4% is available to match employee contributions.
  • Life Insurance provided by parish.

Probationary Period

New employees will go through a 90-day probationary period. During this time, new hires receive:

  • Extensive training and support from their supervisor
  • Weekly check-ins with the supervisor to receive feedback
  • Support for improving performance to meet expectations
  • A written performance evaluation at the end of the probationary period

Upon successful completion of the probationary period, the new hire transitions to permanent employee status.

Additional Details

The Parish Operations and Communications Director is considered a “spiritual-hire” that is nonexempt, at-will employee (resignation/termination may be done by either party at any time for any reason).

As a non-profit religious organization, St. Andrew’s is exempt from the Unemployment Act, and so the employee would not be eligible to pursue Unemployment benefits upon conclusion of tenure.
