The Medical Services Coordinator manages and assists in the administration and coordination of all medical students and professional health students.
Essential Duties and Responsibilities:
•Manage the day-to-day operations of medical student activities for St Francis-Emory Healthcare.
•Ensure administrative oversight of all regulatory and compliance activity related to the student programs on campus. Adhere to guidelines and rules that may affect student clerkship and preceptor experiences.
•Support the development of the annual rotation schedules for medical students; maintain the student rotation database at all times.
•Effectively track and comply with school agreements, MOUs, and requirements between medical and professional health schools/programs and St Francis to ensure hospital’s adherence to terms.
•Coordinate and manage Clinical Preceptorships for 3rd and 4th year medical students.
•Manage and assist with the placement of all other professional healthcare preceptorships.
•Coordinate and schedule student orientation classes collaborating with the schools, faculty, and hospital departments. Request all EHR user accounts for hospital-based and ambulatory systems.
•Manage student records to ensure required documents are collected prior to student’s rotation. Ensure student files are well-organized, in the appropriate format, and kept confidential.
•Serve as the liaison to medical and professional health schools.
•Develop, revise, and disseminate information and instructional materials.
•Disseminate onboarding packets to the Clerkship Coordinators in a timely manner.
•Collaborate with residency program coordinators and directors to ensure rotations are coordinated and planned.
•Prepare any needed reports requested for leadership related to compliance to medical school contracts and rotations.
•Collaborate with Mercer School of Medicine to assist with Hooding Ceremony as needed on a yearly basis.
•Provide excellent customer service to internal and external customers.
•Attend department staff meetings as required.
Other Duties and Responsibilities:
•Engage in long-term planning, ensuring tasks and projects are aligned with organizational goals and priorities.
•Maintain a continuous improvement mindset, seeking ways to optimize processes and enhance efficiency.
•Perform other related duties as assigned.
Education:
Regionally accredited bachelor’s degree preferred and/or equivalent experience required.
Experience:
•1-2 years’ experience in a healthcare related field preferred.
•Experience with software technology; strong technical aptitude.
