POSITION SUMMARY

We are looking for a Specialist II who will be responsible for assisting with the departmental goals, special projects, and advancement activities to achieve college goals. Demonstrates advanced experience of technical knowledge related to the school of Health, Human Services, and Natural Resources to ensure that the programs and students are compliant with off-campus partners such as hospitals, schools, etc. Additionally, this role supports program compliance with accreditation agencies for state boards, national boards, and licensing entities through various administrative and clerical functions.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

  • Proven knowledge and experience in academic affairs providing specialized support to an organization and/or department.
  • Understands the organizational structure and services provided by different departments to better serve the college and students.
  • Ability to read, interpret, and analyze documents such as partner requirements, program data, and variations of information from accreditation agencies.
  • Ability to research CDC guidelines and partner requirements regarding necessary immunizations, including updates to procedures.
  • Ability to respond to problems, issues and situations that require the use and knowledge of existing processes, using sound judgment, attention to detail, adaptability, and flexibility.
  • Ability to identify and utilize resources effectively and efficiently.
  • Must have excellent time management skills and the ability to multitask/prioritize work in order to support organizational needs, and meet deadlines.
  • Ability to build solid professional relationships across multiple levels of the organization and liaise with other departments, employees, and external business entities from diverse environments.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Provides a full range of moderate to complex administrative duties in a variety of functions to an individual, team, department or organization.
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails on behalf of department or as directed by manager; handles routine requests for information and data.
  • Ensure student compliance with program specific requirements (immunizations and background screenings).
  • Functions of these processes include:
    • completing spreadsheets
    • maintaining databases
    • communicating requirements, following up with and informing students of the process
    • delivering results to stakeholders
    • being a facilitator for all compliance data.
  • Responsible for assisting the department in analyzing, tracking, and forecasting trends in collaboration with the Dean, Assistant Dean, and Program Coordinators.
  • Facilitate the dissemination of program compliance data to all accreditation agencies, state and national boards, and various licensing/reporting bodies.

MINIMUM KNOWLEDGE AND EXPERIENCE

Associate degree or higher plus three (3) years' experience in related field, OR High School diploma or equivalent with a minimum of six years related experience.

Requires regular and predictable attendance.

PHYSICAL ABILITIES

Normal physical job functions performed in a standard office environment. Position may require occasionally lifting and/or moving up to 20 lbs.

**Will be subject to a criminal background check and may require fingerprint participation.

REPORTING RELATIONSHIP

Reports to Director or Assistant Dean but may vary depending on organizational need.
