JOB DESCRIPTION


TITLE: RECEPTIONIST

DEPARTMENT: Administration

REPORTS TO: Administrator

WAGE: Hourly

WORK HOURS: Variable


MINIMUM QUALIFICATIONS:

  • Excellent phone skills.
  • High school graduate or equivalent.
  • Ability to handle a multi-line telephone system including transfers of voice mail.
  • Ability to take messages accurately and direct calls to the appropriate department.
  • Always maintain a professional demeanor and appearance.
  • Ability to send faxes as directed.
  • Ability to sort and distribute income mail.
  • Ability to send packages and mail via FedEx, US Postal Service, Airborne, Certified Mail, etc.
  • Ability to use internet and email system as needed.
  • Working knowledge of computers, ten key and other office machines.
  • Ability to read and write the English language.
  • Proficiency in word processing, spread sheet and other related computer programs.
  • Ability to deal effectively with residents, the public, and co-workers.
  • Ability to organize, prioritize and work within deadlines.
  • Ability to perform essential duties as listed below.
  • Ability to work tasks within the physical demand requirements as outlined below.
  • Genuine caring for and interest in elderly and handicapped people.
  • Ability to comply with the Patients Bill of Rights and Employee Responsibilities.
  • Ability to comply with company’s and department safety policies and procedures.


JOB SUMMARY:

  • Proved information about SPJST services, visiting hours, and relevant policies. Answering phones and managing inquiries: handling income phone calls, taking messages, and directing calls to appropriate staff members or department.


ESSENTIAL DUTIES:

  • Responsible for answering and directing all incoming calls and voicemails.
  • Responsible for keeping the office copy machines and fax machines full of paper and replacing toner and drums as needed.
  • Sort income mail and faxes.
  • Make sure all outgoing mail and special mail, including Fed Ex, certified mail and other items are processed promptly.
  • Assist with maintenance and compliance of personnel files as directed.
  • Other duties as assigned.


WORK ENVIROMENT:

  • Indoors
  • Sel-paced, requiring the ability to work quickly in an oftentimes demanding, fast-paced work area.

PHYSICAL DEMANDS:

  • Sitting: 1-2 hours per 8-hour work shift. Alternatives frequently to standing or walking.
  • Standing: 3-4 hours per 8-hour work shift. Alternates frequently to walking and occasionally to sitting.
  • Walking: 2-3 hours in an 8-hour work shift. Alternates frequency to standing and occasionally to sitting.
