Summary: Plans, supervises, and coordinates the maintenance of the Casino’s inventory and point of sale systems; supervises assigned personnel.


The intent of this position description is to provide a representative summary of the major duties and responsibilities performed by this position.
Employee(s) may be required to perform position-related tasks other than those specifically listed in this description.


Essential Job Functions:

  • Directs and participates in the maintenance of the Food and Beverage products database, the Uniform inventory and product database, and the Retail inventory and products database.
  • Maintains links between products, inventory items, and recipes to facilitate accurate depletion through the point of sale and inventory systems interface.
  • Oversees system rights, permissions, and user access to the Casino’s inventory and point of sale systems.
  • Coordinates, schedules, and installs interfaces and/or system upgrades to inventory and point of sale systems as required.
  • Responds to system inquiries and delivers training to system users regarding new or revised system processes.
  • Provides point of sale terminal support including pricing, descriptions, menu and profit center changes, screens, scanners, bar codes, and user access issues.
  • Conducts and/or directs inventory and reconciliation activities; responds to inquiries pertaining to usage, cost of goods, variances, and waste; provides sales, margin, and retail activity reports.
  • Enters retail inventory information into the inventory system; generates variance reports by individual retail location and resolves variances.
  • Prepares inventory aging for retail locations and provides Corporate Finance with retail outlet inventory dollar values.
  • Provides reports and charts to department Directors and Managers each month which are used to assist in managing inventory and sales levels.
  • Monitors the internal Gift Card interface and resolves related issues; directs the tracking of gift card purchases, credit card for cash transactions, usage, and expiration dates.
  • Responds to customer inquiries and resolves issues pertaining to gift cards.
  • Develops and implements policies and procedures for the Inventory Systems Department.

Supervisory Responsibilities:

  • Interviews and trains employees.
  • Plans, assigns, and directs work; appraises performance; rewards and disciplines employees; addresses complaints and resolves problems for employees as well as guests.
  • Makes recommendations to the Manager and Director for hiring and staff separations in accordance with company policies.
  • Ensures the hiring, training, promoting, assigning, disciplining, and discharging of employees are in accordance with Tribal Law, including without limitation, the Tribal Employment Rights Ordinance (TERO).


Required Knowledge of:

  • Inventory and point of sale systems and databases.
  • System administration and maintenance processes.
  • Retail, Uniform, and Food & Beverage operations.
  • Inventory control processes and procedures.
  • Principles and practices of accounting.
  • Supervisory principles, practices, and methods.


Required Skill in:

  • Overseeing and coordinating the maintenance of inventory and point of sale systems.
  • Ensuring the proper functioning, accuracy, and reliability of inventory systems and databases.
  • Responding to inquiries, providing technical support, and delivering training to system users.
  • Establishing and maintaining effective working relationships with others.
  • Conducting financial analyses and preparing a variety of departmental reports.
  • Supervising, leading, and delegating tasks and authority.


Education, Experience, Licenses, Registrations, and Certifications:

  • Associate’s Degree in Accounting or a related field, and three (3) years experience overseeing the maintenance of inventory and point of sale systems, including one (1) year supervisory experience, or equivalent combination of education, training, and experience.
  • High security gaming license issued by the Grand Ronde Gaming Commission.
  • Due to the nature of the interactions with other employees and the public we serve, employees may be required to provide documentation of or receive certain health vaccinations.
  • Must be at least 21 years of age.


Environmental Factors and Conditions/Physical Requirements:

  • Work is performed in an office environment with occasional exposure to tobacco smoke and noise common to gaming environments.
  • Work is subject to frequent sitting, intermittent walking, and occasional standing, bending, reaching, and lifting up to 50 pounds.
  • Work involves occasional exposure to extreme temperatures when conducting inventory activities in kitchen, cooler, and freezer facilities.


Equipment and Tools Utilized:

  • Equipment utilized includes personal computer, standard office equipment, bar code printers, and inventory scanners.
