Job Description: Fixed Term Contract of 12 Months 1.0 General: Acting as the local representative of the human resources department, the role facilitates all HR functions and programs for the organization’s team members at the global headquarters based in Toronto. The role is responsible for managing a number of HR administrative duties and HR projects including HRIS entry, special projects, assisting with the onboarding process, supporting senior HR business partners and communicating with other departments within the organization on behalf of human resources. 2.0 Specific Responsibilities: HRIS Maintenance and Reporting: HR Information System input and maintenance of Workday, ADP vacation Tracker, and LMS systems, including the accurate and timely input of: Name, Address, Titles, Pay, Cost Centers, GL Codes & reporting Managers. Set up and maintenance of employee files paying special attention to new hires, transfers, reviews and terminations. Partnering with Payroll and to ensure all HR action forms and all back office functions are executed. Lead the proper and accurate monthly reporting of key metrics: engagement, headcount, attrition/turnover, severance, absences, learning completion and vacation accrual Maintain and update databases including Outlook, Concur, employee center, org charts and company directory Onboarding and Benefits: Leading planning, coordination and delivery of new employee onboarding experience including: employee set up, organizing IT equipment, seating and benefits Administers employee health and benefits plans and acts as an ambassador to the company. Resolves benefits-related problems and ensures effective use of plans and positive employee relations. Ensures that programs and practices are administered in accordance with federal and provincial regulations. Supporting HR Practices: Provide support to the succession & talent management process Ad hoc requests to support the management and delivery of all HR projects Participate in monthly Spin Safe activities Delivery of service awards, employee rewards and recognition Partner with HR Manager to identify and report activities to mitigate risks to the organization Human Resources/Toronto Invoice processing including tracking, maintenance of expense invoice sheets 3.0 Required Skill Set: Proficient knowledge of Microsoft Office skills (Excel, Word, PowerPoint and Visio) Ability to work in a busy and constantly changing environment Ability to be able to deal with ambiguity Exemplifies strong customer service orientation Exceptional organizational skills with ability to effectively manage multiple tasks and projects within assigned deadlines Attention to detail, with excellent spelling, grammar and proof-reading skills Excellent interpersonal and communication (written and verbal) skills 4.0 Required Qualifications & Experience: 1-3 years of HR administration and transaction experience, preferred Preferred education: University degree (BA) preferred with a major in Human Resources.
