SPECIAL SERVICE FOR GROUPS, INC
JOB ANNOUNCEMENT

Title: Financial Assistance Coordinator Division: HOPICS/Housing
FLSA: Non-Exempt, Full Time (40hrs/wk) Supervisor: Financial Assistance Systems Administrator
Pay Range: $23.00-$25.00 per hour Revised: 9/20/2023

Summary
Under the direction of the Financial Assistance Systems Administrator, the Financial Assistance Coordinator will serve as the coordinator for Shallow Subsidy, Bringing Families Home, Inside Safe, Time Limited Subsidies and Eviction Prevention Programs. S/he will be responsible for assisting the Financial Assistance Systems Administrator with creating, tracking, and reporting on all financial assistance request packets for SSG/HOPICS. Additionally, s/he will serve as a backup for troubleshooting for Doclink and reconciling all submissions with the fiscal department.

Essential Functions
• Must utilize excel; create and maintain spreadsheets for tracking of various reports.
• Create, review, and submit financial assistance requests.
• Assist program and case managers with financial assistance requests and reconciliation.
• Upload financial assistance requests into HMIS and Doclink.
• S/he will maintain accurate documentation of services provided to clients in HMIS.
• Assist with addressing data errors if needed.
• Assist with generating reports and following up with all stakeholders to ensure accurate accounting.
• Assist with monthly case conferencing with program and case managers to review case notes and to obtain and maintain rental assistance payments.
• Prepare project reports in accordance with funding requirements.
• Work collaboratively with agency staff to ensure accurate and timely submissions of financial requests through Doclink.
• Provide technical assistance to HOPICS staff with Doclink.
• Provide support to the SSG Fiscal department with any items/issues related to Doclink.
• Responsible for the issuance of financial assistance check issuance to landlords and payments to
vendors.
• Maintain files/records on client services in compliance with HIPAA and other funding requirements for auditing purposes.

• Work collaboratively with DMH, DHS, CDC, LAHSA, HACLA and other outside agencies.
• S/he will assist in trainings and provide support to necessary staff, providers, and other project partners.
• The Financial Assistance Coordinator will participate in all mandatory program and division meetings and trainings, as assigned by his/her supervisor, assistant division director and division
director.
• Prepare reports in accordance with program requirements and Division policies.
• Maintain files/records on client services in compliance with HIPAA, 42 CFR Part 2 and other funding requirements for audit purposes.
• Maintain appropriate boundaries; and adhere to SSG’s Code of Ethics and HOPICS’ Core
Values.
• Represent the Agency in a professional manner at meetings and community events.
• Regular attendance required.
• Other duties as needed. 
Secondary Functions
Perform other duties as assigned by the Financial Assistance Systems Administrator, Associate Director of Property Management and Development, and/or Division Director. Answer phones and route incoming calls; serve as back-up to the Customer Service Representative for the Housing Department.

Minimum Qualifications - Knowledge, Skills and Abilities Required
Bachelor’s degree in human service, business, marketing, communications, administration, or related fields with a minimum three (3) years job related experience in housing placement services and relationship building with landlords and property owners OR three years’ experience working in social service field; housing placement and developing housing networks. Working knowledge of Microsoft Word, Excel, and other database programs. Accurate and concise documentation. Neat and professional appearance. Attention to detail and punctuality required. Ability to communicate effectively, both written and orally. Verification of Employment Eligibility and Background Clearance. TB test required (Not more than (3) month prior to or (7) days after Date of Hire, and renewed annually thereafter), CPR and First Aid Certification required within 30 days of employment with company. Ability to communicate effectively, both written and orally. Experience working with homeless families and children, as well as experience with placing homeless families into permanent housing.

Supervisory Responsibilities:
This position does not have any supervisory responsibilities.

Environmental Conditions (Working Conditions)
May be exposed to highly aggressive clients: must communicate with many sources including public paying agencies, courts and outside community agencies. Some evenings and weekends may be required. Sometimes noisy, loud and disruptive clients.

Physical Requirements
The Financial Assistance Coordinator typically spends time sitting, standing, typing, thinking, bending, climbing, writing, walking, carrying (max. 25 lbs), listening, speaking.

Mental Requirements
This position will require the individual to be able to handle any/all of the following: constant distractions, interruptions, uncontrollable changes in priorities/work schedules: be able to process information, think and conceptualize
