SPECIAL SERVICE FOR GROUPS

JOB DESCRIPTION

Title: Facility Supervisor Division: HOPICS

FLSA: Non-Exempt, Full time Supervisor: Program Manager

Pay Range: $23.00 - $28.00 per hour Revised: 11/9/2022

Summary

Under the supervision of the Interim Housing Operations Manager, will supervise facility assistants and monitors in maintaining the facility sites in the Interim Housing program. Ensuring that all the facilities are maintained and up to the code of the program contract habitability standards.

Essential Functions

  • Directly supervise 5-8 facility assistants and/or monitors
  • Hiring or identifying facility assistants and/or monitors.
  • Assist with arranging interim housing sites.
  • Providing support to other Interim Housing sites.
  • Training team members on Interim Housing facility, operations, or maintenance activities.
  • Onboard new Interim Housing sites and demobilize existing sites.
  • Order and maintain an adequate inventory list of materials and supplies.
  • Assist with delivering large supplies and/or donations
  • Conduct monthly safety inspections of all equipment and facilities.
  • Ensure compliance of city, county, state, and federal regulations relating to the maintenance operations are always met.
  • Responsible for ensuring that each Interim Housing facility/building remains in compliance with all codes: local building and safety codes, OSHA, and EPA requirements, and habitability standards, in accordance with funder requirements etc.
  • Maintain a high level of ethical conduct regarding confidentiality of employees, participants, company, and vendor’s data and handle sensitive and critical information with professionalism and discretion.
  • Establish and maintain positive working relationships with co-workers, participants, service providers and the community, maintaining appropriate boundaries.
  • Communicate with staff and participants in a non-judgmental manner, work cooperatively with all agency staff.
  • Regular attendance required.
  • Troubleshoot and conduct repairs for the following, but not limited to:
    • Electrical
    • Plumbing
    • HVAC systems
    • Carpentry (Drywall and flooring)
    • Painting
    • Leaks - Locks
    • Window replacement
    • Smoke detectors
    • Propane tank (filling or replacing)

  • Installation, Assembly and Disassembly of the following but not limited to - Bathroom fixtures - Light Fixtures

  • Must assist or attend a minimum of 2 agency community events. Including but not limited to the following:
    • Homeless Connect Day
    • Homeless Count
    • United Home walk
    • HOPICS Client Holiday event
    • HOPICS Trunk or Treat
    • Los Angeles Al-Impics
  • Be knowledgeable and adhere to all Special Service for Groups inc. and Homeless Outreach Program Integrated Care System practices, policies and procedures and its accrediting and standard setting bodies, such as LAHSA and state licensing.
  • Overtime, holiday, or weekend work may be required
  • Creating policy and procedures to ensure sites are meeting habitability standards and any standards that are mentioned in the Scope of Required Services.
  • Assist with creating policy and procedures for programs and facilities to continue to operate day to day.
  • Prioritize multiple and often competing priorities
  • Attendance of all division wide trainings and meetings.
  • Ability to understand and carry out oral and written direction.
  • In depth understanding of the homeless population.
  • Creating benchmarks, schedules and checklists for onboarding sites and staff.
  • Identifying and communicating gaps to the Interim Housing Operations Manager and team members with a plan to rectify them.
  • Perform other assigned job duties in a timely and efficient manner as requested/required.
  • Creating and inventory for supply needs and processing supply orders for the interim housing programs.
  • Perform other duties assigned by senior management (Division Director, Deputy Director, Associate Director, or Senior Manager)
  • Adhere to SSG’s Code of Ethics and HOPICS’ Core Values.
  • Always maintain a safe environment, complying with Agency and industry standards and safety regulations.

Secondary Functions

Perform roles and responsibilities of the Interim Housing Monitor when necessary, including but not limited to:

  • Cleaning client room/beds
  • Cleaning restrooms
  • Taking out trash of the facility
  • Assist client with relocation
  • Perform housekeeping responsibilities (sweeping, moping, dusting, vacuuming etc.)
  • Pack up client belongings
  • Disinfecting bathrooms/ showers
  • Delivering meals to clients
  • Linen exchange
  • Laundry
  • Conduct search of client’s belongings
  • Hotbox client’s belongings
  • Making beds
  • Prepare room for clients to move in

Minimum Qualifications- Knowledge, Skills, and Abilities Required

  • High School Diploma or GED equivalent and 1- year relevant work experience in a supervisory role.
  • Valid California driver's license and proof of auto insurance.
  • Reliable transportation

Mandatory COVID-19 Vaccination Requirement

  • COVID-19 Vaccination Required: All staff are required to be fully COVID-19 vaccinated and to submit vaccination records to the Human Resources Department during new hire orientation.
  • Fully COVID-19 vaccinated (2 weeks from last vaccination dose to be considered fully vaccinated)

Environmental Conditions (Working Conditions)

The Facility Supervisor will work in an office setting, and outdoors. They may be exposed to aggressive, sometimes noisy, loud, and disruptive clients and must work in conjunction with other staff members, interface with courts, LA County Probation, Sheriff’s Department and Mental Health Departments and other community agencies. There will be times that the staff will be responsible to work in noisy environments where adults are free to talk loud and expressive.

Physical Requirements

This position demands good physical and mental health. The Facility Supervisor will be required to lift, carry, walk, sit, push, pull and work a flexible schedule, must be able to move continuously during work hours and be able to lift and/or carry 50 to 75 lbs.

Mental Requirements

The Facility Supervisor must be able to handle any/all the following:

  • Interruptions, changes in priorities/ work schedules
  • Be able to process information, think, and conceptualize
