Job Summary:
Founded in 1938, the SPCA of Texas is the most comprehensive and longest-serving animal welfare agency in North Texas. Our mission is to provide every animal exceptional care and a loving home. Invest in our People; 5. Strengthen our Operations.
To help bring our mission and strategic plan to life, the SPCA of Texas is seeking a highly organized full-time Manger, Executive Support and Board Liaison who will work directly with the President and CEO and will serve as the primary point of contact for internal and external constituencies. The Manager, Executive Support and Board Liaison also directly supports and works closely with other members of the senior management team. In addition, this person is expected to support the effectiveness of the SPCA of Texas board members’ functions of the agency and perform reception-related duties as appropriate. The ideal candidate must be creative and enjoy working in a fast-paced environment that is mission-driven and community oriented. The ideal candidate will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities. Further, this role will take primary responsibility for managing the administrative functions of the SPCA of Texas’ day-to-day office management. Because this position balances a variety of responsibilities, a high degree of flexibility, a professional attitude, significant initiative, and attention to detail are required. The ideal candidate will understand purchasing principles in a non-profit environment, demonstrate profound computer literacy, maintain high levels of discretion and confidentiality, and possess a sound commitment to our mission.
Summary of Essential Responsibilities:
Administrative Processes
• Serves as the organizational go-to person for questions pertaining to all types of services and vendors, and SPCA corporate matters.
• Retrieves information as requested from records, emails, minutes, and other related documents; prepares written summaries of data when needed.
• Processes payments for departmental needs across the organization and performs basic data entry for accounting.
• Prepares and processes credit card statements and payments for the executive leadership team
• Prepares and processes mileage and expenses for senior and executive leadership team
• Serves as the contact person for selected vendors and handles all invoices to appropriate staff for processing.
• Assists with yearly audit by preparing and organizing key documentation of organizational records
Office Management
• Strong acumen and experience with Microsoft Office 360 - Excel, Word, Teams, Forms, OneDrive, PowerPoint, SharePoint, etc.
• Maintains high levels of motivation coupled with the ability to prioritize, organize, and manage multiple tasks
• Maintains office supplies and coordinates maintenance of office equipment.
• Responds to and resolves administrative inquiries and questions with sound judgement and solution focused attitude.
• Participates in employee engagement activities to help create a positive workplace culture that is rooted in the values of the organization
• Maintains and makes recommendations for filing systems for the organization as assigned.
• Manages all conference room bookings
Board Liaison for Senior Leadership and Board of Directors
• Coordinates and schedules travel, meetings, and appointments for managers, supervisors, directors, and senior leadership.
• Prepares agendas and schedules for meetings among senior leadership and the board of directors.
• Records and distributes minutes or other records for meetings among senior leadership and the board of directors.
• Helps coordinate and distribute organizational info for monthly board packet
Preferred Experience:
• Must demonstrate the Core Values of the SPCA of Texas on and off the job
• Three to five years of progressive administrative responsibilities.
• Bachelor’s degree preferred but not required
• Personal characteristics such as friendly attitude, good judgment, honesty, tactfulness, dependability, and initiative are essential.
Abilities Required:
• Static Strength: the ability to exert maximum muscle force to lift, push, pull, or carry objects up to 40 pounds.
• Judgment and Decision Making: the ability to consider the relative costs and benefits of potential actions to choose the most appropriate one.

• Monitoring: the ability to monitor and assess performance of yourself, other individuals, or organizations to make improvements or take corrective action.
• Emotional and Mental Requirements: the ability to work effectively under stressful conditions. Ability to rapidly and accurately process information.

Applicant Information:
• The individual performing this job may be required to work more than 8 hours in a day or 40 hours in a week.
