Spartan seeks qualified applicants for its Legal Administrator position at its headquarters in Boston, MA.
Must be able to work in the office at least 4 days per week.

Description
As a member of the Spartan Legal team, and reporting directly to the General Counsel, the Legal Administrator will
provide support to the in-house counsel team on a number of administrative support tasks related to Legal
operations. The job requires the ability to be well organized, and to produce quality work product in a fast-moving
environment.

Responsibilities:

  • Maintain and update legal document databases and departmental records.
  • Support in the management of the company’s IP portfolio, which may include, liaising with outside IP counsel, supporting efforts related to trademark prosecution and enforcement, tracking key deadlines, and coordinating with internal clients on document collection and trademark clearances.
  • Organize and maintain corporate governance records.
  • Manage all administrative components of the team’s contract management platform, including assisting with the signature process for certain legal contracts and permits, and making updates to the system as needed and/or to improve process efficiencies.
  • Handle a number of responsibilities related to the management of Spartan’s insurance program and policies, including, assisting with the filing of claims, collection of internal data and documents, responding to internal/external inquiries, and obtaining certificates of insurance.
  • Assist Legal team with litigation management, such as, communicating with outside counsel and claims adjusters, tracking deadlines, responding to subpoena requests, and collecting internal documents and information.
  • Oversee various special projects, such as legal research, compliance audits, and process improvements, and contribute to the overall effectiveness and success of the Legal department functions within a global events organization.

Qualifications


Qualifications:

  • Minimum of 1-3 years of experience providing legal administrative support (some in-house legal experience preferred).
  • Extremely well-organized and detail-oriented, with the ability to juggle multiple competing and shifting priorities.
  • Exceptional project management skills.
  • Ability to contribute to the Legal team’s ongoing efforts to create, improve, and operationalize internal processes, best practices, and commercial templates.
  • Experience interacting with internal clients and managing or escalating questions or issues as appropriate.
  • Have a willingness to work diligently in dynamic and high-stress environments.
  • Ability to handle confidential matters discreetly.
  • Capable or working independently and productively, occasionally with minimal supervision.
  • Be in the office a minimum of 4-days a week.
  • Experience and/or working knowledge in substantive areas of insurance, IP, and corporate governance, as well as with general legal processes, procedures, and terminology is preferred.
  • Able to maintain a positive attitude, have a strong sense of humor.

Education Required

  • Bachelor’s Degree, with excellent academic credentials.

 Additional Aspects

  • May require a flexible schedule, sometimes including weekends and evenings.
  • Occasional travel to, and attendance at, Spartan-operated Events may be required.
