To work with the CARE Connections CCR&R program to provide administrative supports, including program support, training support, and referral support for parents and Early Care and Education Professionals. ESSENTIAL JOB FUNCTIONS
Program Support (40% of Time)
  1. Fulfill role as initial contact to assist early care and education professionals in accessing CCR&R resources, including training, consultation, and navigation of state systems.
  2. Connect early educators to other Care Connections staff for coaching, participation in Spark, Baby Promise, Preschool Promise, and other support programs.
  3. Consistently use excellent interpersonal skills and flexibility in working with early care and education professionals, including child care providers and certified center staff, children, parents, college students, partners, and SWOCC staff to promote positive relationships.
  4. Meet regularly and coordinate with other staff members to ensure program continuity.
  5. Document all calls, referrals, and follow ups as required by contract.
  6. Work with other Care Connections staff members to support business transactions, including requisitioning funds, purchasing, and collecting and providing documentation to business office.
  7. Complete appropriate data entry, forms, and reports that may include quarterly reports, attendance reports, accident/incident reports, and/or suspected child abuse reports.
 Training (30% of Time)
  1. Coordinate and, as appropriate, facilitate mandatory standardized trainings for Early Educators.
  2. Provide or coordinate First Aid & CPR training opportunities for early educators.
  3. Utilize the Oregon Registry Online (ORO) system as the main calendar and tracking tool for trainings and professional development opportunities.
  4. Support development of newsletter and other communications regarding trainings.
  5. Schedule and/or provide trainings required to assist Early Educators to move forward on their Oregon Registry professional goals. 
  6. Work with Southwestern’s Community Education department to schedule and provide appropriate paperwork for all educational opportunities provided.
  7. Participate in planning the annual Retreat by the Lake conference for Early Educators. 
 Resource & Referral for Parents and Early Care and Education Professionals (30% of Time)
  1. Provide resource and referral information to those seeking information on Child Care and/or becoming a early care and education professional. 
  2. Make use of databases to give correct information. 
  3. Ensure that local data is current by completing provider updates and ensuring database entries are accurate and up to date. 
  4. Produce flyers, social media posts, newsletters and materials for families and community members as required.
 
Performs Other Duties and Special Projects as Required/Assigned (5% of Time)
REQUIRED QUALIFICATIONS
High School Diploma or equivalent.
  • A minimum of two years working with professional clerical/office experience

  • Knowledge in the field of early childhood development and adult learning. 
  • Knowledge of community social service agencies, education, and training options available to assure accurate information is given in resource and referral. 
  • Ability to act in a professional manner; exercise good judgment at all times and interact with internal and external constituencies in a manner that consistently builds positive relationships. Ability to work effectively and sensitively with individuals of diverse cultural backgrounds, perspectives, and abilities.
  • Effective oral and written communication skills. Ability to communicate with demonstrated listening skills. Knowledge of grammar, spelling and correct English. Ability to proofread.
  • Sufficient knowledge to understand and learn terminology used in childcare provider certification. 
  • Knowledge of general office procedures with knowledge of safe and effective operation of standard office equipment and ability to follow safety procedures and maintain work area in a clean and orderly manner.
  • Ability to maintain confidentiality of department records and/or information as requested.
  • A level of computer literacy sufficient to use software such as word processing, spreadsheets and databases to produce correspondence, documents, and reports as required by the position. Intermediate knowledge of Microsoft Office. Ability to use virtual platforms such as Zoom, Skype, Adobe Connect, Go To Meeting, etc. to conduct meetings and trainings. Ability to learn new software application programs easily.
  • Ability to read, review, understand, and apply concepts presented in training programs, conferences, federal regulations, professional literature, and other related materials pertaining to federal grants.
  • Maintain and promote ethical responsibility by following the NAEYC Code of Ethical Conduct.
  • Maintain confidentiality. 
PREFERRED QUALIFICATIONS
Applicants for this position possessing one or more of the following knowledge, skills and abilities with receive preferred consideration through the selection process.
  • Associate’s degree in Early Childhood Education or related field OR step 9 on the Oregon Registry 
  • Minimum of one year experience working in a program focused on child care/Early Childhood Education working with providers, early childhood educators, and families with young children.
  • Experience in providing adult education
  • Fluent in a language other than English (Spanish, Russian, etc. )

SPECIAL REQUIREMENTS OR LICENSES:
  • Hold or ability to obtain valid driver’s license and meet the college’s insurance requirements
  • Hold or ability to hold an Infant Child CPR/First Aid certification
  • Must be able to pass Oregon Child Care Central Background Registry/finger printing and SWOCC background check.
 
EQUIVALENT EXPERIENCE: 
A demonstrated work history in professional clerical/office experience may also be considered in leu of High School Diploma.
