Sales Coordinator

Title: Sales Coordinator Job Type: Non-Exempt / Hourly

Department: Administration Supervisor: Sales Coordinator Manager

JOB SUMMARY

The Sales Coordinator is responsible for coordinating and processing all aspects of designated accounts managed by the sales team, including but not limited to, maintaining a high level of satisfaction by establishing positive relationships with vendors, customers, and other related intercompany business partners; maintaining complex schedules and managing administrative support; provide customer service with all intercompany departments and external partners to ensure the accuracy of each customers’ orders. The ideal candidate will have a demonstrated strong organizational and administrative skills with an emphasis on customer service.

Responsibilities:

The following responsibilities are a general guideline and not intended to be an exhaustive list of the full scope of responsibilities. Duties and responsibilities are subject to change based on business needs and at managements discretion.

  • Coordinates and processes sales orders from inception to completion.
  • Reviews sales orders for accuracy, working with sales reps, sales managers and vendors on questions and corrections.
  • Assists sales reps to solve internal and external discrepancies on order(s).
  • Orders, tracks, and provides updates on equipment, attachments, batteries, and other material handling products specified on sales order via Purchase Orders.
  • Creates work orders, partnering with the Service Team to prep equipment.
  • Collaborates with all intercompany departments for customer account set up and status, secure equipment demos, verifying and coordinating delivery dates and/ or pick-ups.
  • Maintains files of customer sales orders for research and audit to include gross profit.
  • Provides details of special incentives and order summary letters.
  • Maintains accurate reporting of equipment backlog.
  • Conducts equipment and allied inventory as requested, correcting inaccuracies within ERP.
  • Creates awareness of daily sales order issues.
  • Tracks, calculates, and reports sales commissions.
  • Generates memos, emails, and reports as needed.
  • Responds to questions and requests for information in a timely, effective, and professional manner.
  • Answers incoming calls / emails and assume other administrative duties when needed.
  • Ensures deadlines are met, and work is completed accurately.
  • Implements and monitor programs as instructed.
  • Handles customer inquiries and escalate as needed.
Qualifications

Education/Additional Requirements:

  • High School Diploma or equivalent required; some college preferred.
  • 2 - 3 years’ experience within sales, project, or warehouse coordinating, or buyer/planner role in a fast past, high-capacity role.
  • Detail oriented with a focus on accuracy.
  • Proficient in Microsoft Office software, ERPs, and CRMs.
  • Proven ability to meet deadlines and prioritize work.
  • Proficient written, verbal, organizational, problem solving, and analytical skills.
  • Ability to handle multiple projects, items, tasks, and people within a short amount of time and communicate up and out.
  • Managing large group of salespeople (15 – 20).
