Comprehensive Pain Consultants, a PartnerCare affiliated company, is seeking a full-time Practice Administrator, to join our growing and established practice in Asheville, NC.

Our practice focuses on taking care of the patient with a comprehensive plan, delivering high customer service, keeping patients safe and well-informed and reducing patients' pain as much as possible.

The Practice Administrator leads all non-physician team members and oversees multiple sites, which may include clinics, ambulatory surgical centers, and toxicology labs. This role is responsible for managing practice operations, driving continuous improvement, enhancing patient experience, creating accountability for team performance, tracking key performance indicators (KPIs), and meeting or exceeding financial objectives (in partnership with the lead physician). The Practice Administrator has ownership of the practice P&L and is responsible for meeting or exceeding financial objectives, both in partnership with the Physician Market Leader. Specifically, this role i) owns COGS, labor spend, and operating expenses, ii) partners with the Physician Market Leader on the revenue component to support execution, and iii) is jointly accountable for practice bottom-line performance with the Physician Market Leader. With direct supervision over Clinical Operations Managers, as well as indirect supervision of Clinical Admin Staff, Clinical Support Staff, and Sales & Marketing Team, this role plays a pivotal part in maintaining the financial health of the practice and achieving organizational goals.

Essential Functions:

  • Oversees day-to-day practice operations and optimizes workflows for continuous improvement.
  • Plans, develops, and executes operational initiatives and implements new systems, processes, and tools.
  • Communicates the practice direction, operational workflows, and job requirements clearly.
  • Leads and trains a multidisciplinary team, fostering a collaborative, positive, and high-performance culture. Partners with Physician Market Leader to achieve retention of 70% or above.
  • Supports the Physician Market Leader on developing the strategy and executing growth initiatives.
  • Has P&L ownership (in partnership with Physician Market Leader) and closely monitors performance.
  • Leads labor management and expense management.
  • Consults and supports execution on revenue generation initiatives (lead physician owns).
  • Jointly responsible for bottom-line financial performance with Physician Market Leader.
  • Leads annual budget creation process, collaborating with Physician Market Leader in process.
  • Owns COGS, labor, and other operating expense reporting in monthly ops reviews.
  • Partners with lead physician on revenue and bottom-line reporting in monthly ops reviews.
  • Sets and communicates budget targets and practice goals to Clinical Admin, Clinical Support, and Sales & Marketing staff, establishing and monitoring KPIs for team accountability.
  • Consults with Physician Market Leader to determine new system needs, equipment needs, and growth investments and presents business case to COO and CFO for approval, as necessary.
  • Utilizes data to assess performance, identify trends, evaluate opportunities, and drive improvements.
  • Meets with the Physician Market Leader and Chief Operating Officer on a regular basis to provide recommendations, reporting, and insights.
  • Manages the Clinical Operations Managers, overseeing sites, coordinating staffing, site and equipment maintenance, and operational workflows, while ensuring a safe environment.
  • Directs the practice Sales & Marketing Team (dotted-line reporting relationship), providing direction and oversight to increase new patient growth, brand awareness, and meet market-specific goals.
  • Focuses on enhancing the overall patient experience through improved customer service.
  • Ensures adherence to all regulatory and compliance requirements.
  • Oversees use of EMR and PM software solutions (leveraging Support Center IT Team, as needed).
  • Partners with Support Center HR Team to recruit, manage, train, and develop staff.
  • Performs initial screens of physician and APP candidates before passing them on to lead physician.
  • Partners with Support Center RCM Team to sync operational workflows with RCM requirements. Manage front-end processes that impact RCM (co-pays, deductibles, pre-auth, verification, etc.).
  • Serves as an ambassador and liaison between the Tampa Support Center and the market teams, communicating and supporting clinical, operational, and cultural updates, including support of PartnerCare practice consistencies and process standardization that add value to the portfolio at large. and/or initiatives.

Basic Qualifications:

Education: Bachelor’s degree required; MBA preferred.

Experience: At least five years’ experience in healthcare administration; preferably in a clinic or ASC setting.

TECHNICAL SKILLS/BASIC QUALIFICATIONS

  • Bachelors degree required, (MBA desired)
