Job Overview

Come join our team! SMD has a wonderful opportunity for a dynamic, experienced Certified Medical Assistant, Surgical Tech, or LPN to assist our current providers and to help us gear up for the fellowship-trained MOHS surgeon and cosmetic dermatologist who will be joining SMD this fall -- DERMATOLOGY EXPERIENCE IS REQUIRED, thank you!

Daily duties include preparing for and documenting (“scribing”) patient visits, medical/surgical assisting, and administering wound care. This individual will also be responsible (alone or with a partner) for Mohs case coordination as described below. To be successful in this position, the Medical Assistant must be positive, friendly, polite, and professional in appearance and manner. This position reports directly to the Clinical Nurse Manager (CNM”).

JOB RESPONSIBILITIES

Medical Surgical Assistant & Scribe:

  • Support providers and other staff by working as a team, adapting to the ever-changing demands of the clinic, and providing extraordinary patient care.
  • Set up exam rooms according to scheduled procedures or anticipate Provider’s needs if non-scheduled procedure is likely.
  • Greet patients warmly and escort then to exam rooms in order of appointment times.
  • Get to know regular patients and facilitate a comfortable, patient-focused, inviting environment.
  • Obtain medical history and medication list as required by patient’s chief complaint.
  • Explain medical procedures to patients and assist with obtaining informed consent.
  • Provide courteous and compassionate care according to Provider’s instruction and in accordance with established policies and procedures.
  • Assist in medical/surgical procedures including excisions, cryotherapy, skin biopsies, and skin cancer/Mohs surgeries.
  • Assist in cosmetic procedures including Botox/Dysport, fillers, and laser treatments.
  • Perform procedures such as numbing, suture removal, wound checks, and dressing applications.
  • Maintain safety and well-being of patient according to individual needs.
  • Educate patients pre- and post-operative/visit about cosmetic and medical treatments and SMD skincare products.
  • Scribe detailed and accurate medical notes into the electronic medical records (EMR) system.
  • Accurately document all symptoms, diagnoses, treatment regimens, and prescriptions in patient charts.
  • Take accurate before and after patient photos.
  • Escort patients to front desk after visit and handoff to front desk staff for check-out.
  • Disinfect, straighten, and stock exam rooms between patients as well as all patient areas at the end of the day.
  • Clean/sterilize medical equipment and instruments.
  • Prepare path/lab specimens, route to correct lab dictated by patient’s insurance plan, retrieve and log path/lab reports, follow-up per physician’s instructions.
  • Complete administrative tasks such as answering/returning patient phone calls, pre-authorizations for procedures and/or medications, prescription refill requests, medical records releases, referrals to other medical offices, etc.
  • Maintain familiarity and compliance with OSHA Blood Borne Pathogen standards and HIPAA privacy standards.
  • Perform other duties and tasks as assigned.

Mohs Coordinator Responsibilities:

  • Tracking: identify cases; maintain a system to track each case through all stages from start to finish; handle all related communications (phone messages, emails, faxes, intramails, etc)
  • Scheduling: coordinate patient scheduling; attain necessary referrals and prior authorizations; coordinate scheduling with histology technician vendor; set up patient recall schedule
  • Pre- & Post-Op Calls: perform (or delegate if appropriate); document in EMA
  • Pathology: assist CMN to oversee pick-ups from labs; obtain outside Mohs operative reports to check off pathology as treated; contact patients with results; document in EMA and SMD logs
  • Surgical Assisting: assist Provider during Mohs surgeries
  • Medical Supplies/Equipment: maintain appropriate supply levels within budget for inventory items related to Mohs surgeries or as otherwise assigned by the CNM; maintain Mohs instruments
  • MIPS: work with CMN if any measures are related to skin cancers to oversee data collection & reporting

Qualifications / Required Skills:

  • Minimum of 3 years of relevant medical surgical experience in a dermatologic or related healthcare setting
  • Mohs experience preferred
  • Medical Assistant certification required
  • Scribing experience required
  • Quick typist – 70 WPM
  • Proficient in modern software: Electronic Medical Records (EMR) systems (SMD uses ModMed); Microsoft applications (Outlook, Word, Excel)
  • Knowledge of medical and skin care terminology. Familiarity with CLIA and MIPS a plus.
  • Excellent communication skills, both verbal and written.
  • Passionate about providing exceptional customer service.
  • Strong sense of personal accountability, initiative and enthusiasm, and a positive attitude.
  • Caring and empathetic when interacting with patients and colleagues.
  • Good listener and multitasker, able to keep up in a fast-paced environment.
  • Well-organized with attention to detail.

Logistics

- Location: at our beautiful, waterfront office in Sausalito.

- Hours: FULL-TIME (approximately 40 hours per week) Mon – Fri

- Compensation: $30 - $34 per hour. Hourly rate offered will be based on experience in medical offices, years as a medical assistant, and dermatology/cosmetic/Mohs experience.
