JOB TITLE: Equip Dual Enrollment Specialist
DEPARTMENT: College

SUPERVISOR: Dual Enrollment Coordinator

I. PURPOSE OF THE JOB
To provide administrative and technical support to the dual enrollment academy (DEA) with specific emphasis on the equip dual enrollment program. These responsibilities include, but are not limited to, internal and external communications, day-to-day maintenance of program-related data, managing corresponding documents and processes, liaising between professors of record and facilitators, creating equip-dual-enrollment courses, and troubleshooting technical issues.

II. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Attention to detail and organizational skills along with record keeping abilities
  • Punctuality, ability to manage time and multiple tasks, and the ability to keep office matters and student information confidential
  • Receive training for CampusNet, Self-Service, etc. as required by the Dual Enrollment Office
  • Facilitate communication between professors of record and facilitators over emails, phone calls, and meetings
  • Follow through on inquiries from students, facilitators, partner schools, and adjuncts (including acting as liaison regarding questions on applications, payments, IT-related questions, and deadlines specific to the DEA)
  • Assist the office in prioritizing daily tasks as well as short and long-term departmental goals/projects
  • Update and maintain spreadsheets containing course information, student information, partner school information, and general program information
  • Assist in managing and communicating deadlines set by Dual Enrollment Coordinator, Internal Departments, Partner Schools, etc.
  • Process and store data according to directions given from Accreditation and Institutional Effectiveness in areas such as policy and procedure, instructor credentials, adjunct onboarding information, and other required documentation
  • Ensure program assessment artifact(s) are named properly in faculty’s CampusNet Course page (where applicable)
  • Assist the Dual Enrollment Coordinator by training facilitators to navigate Southeastern’s learning management system, auditing the equip dual enrollment program, and maintaining files and records
  • Manage the creation of equip-dual-enrollment courses, including but not limited to setting deadlines for each partner school’s distinct schedule, ensuring accurate dates, making sure assignments are properly showing in courses, and monitoring the application and registration processes
  • Attend departmental meetings and contribute insights and ideas concerning equip dual enrollment
  • Complete any other requested tasks that will support the Dual Enrollment Coordinator

III. OTHER DUTIES & REPONSIBILITIES

  • Monitor equip dual enrollment reports and notify the Dual Enrollment Coordinator when course caps are met
  • Request registration reports of Registrar
  • Auditing for quality assurance the end of semester grades with Registrar
  • Liaise between partner school faculty, students, and parents with IT for questions on student IDs and CampusNet
  • Auditing for quality assurance of payments with Accounting
  • Assist with transcript requests with Registrar

  • Communication with Faculty, administrative staff, partner schools, students, and the general public

KNOWLEDGE AND SKILLS

  • Prior experience in customer service or as an administrative assistant (preferred)
  • Proficiency with Microsoft Office suite and Microsoft Teams and an eagerness to learn new systems – PowerCampus, Slate, CampusNet, etc. (required)
  • Ability to respond helpfully to a wide diversity of needs as presented by students, faculty, administration, staff, and the public (required)
