Collection Specialist
General Statement of Job
Supports the College initiative to reduce its uncollectible amounts by directly contacting students with past-due payments by phone, e-mail and/or written correspondence.
Specific Duties and Responsibilities
  • Contacts students with past-due payments by phone, e-mail, and/or written correspondence to encourage immediate payment in full or make reasonable payment arrangements.
  • Resolves student disputes that are preventing the student from paying in a timely manner.
  • Handles incoming calls from students responding to correspondence, inquiries and/or concerns regarding their past-due account.
  • Follows up on payment on accounts with payment arrangements.
  • Tracks and maintains student accounts throughout the collection process. Uses both Campus Receivables Collector (CRC) program and Banner Student systems to maintain an accurate record of actions taken to resolve accounts and ensure timely follow-up of cash receipts and payment commitments.
  • Applies a working knowledge of applicable policies, procedures, and collection laws and regulations.
  • Prepares reconciliations, statistical reports and trend reports for analytical review.
  • Assists in the preparation and distribution of student statements, past-due letters and collection letters.
  • Responds to student inquiries in a timely manner.
  • Carries out duties and responsibilities with limited supervision. Makes decisions and establishes work priorities on essentially procedure-oriented operations.
  • Evaluates contracted collection agency performance.
  • Prepares delinquent account referrals to contracted collection agencies and performs reconciliations to ensure collection agency balances and South Texas College balances match.
  • Reviews & updates procedures.
  • Performs other duties as assigned.

    Required Education and Experience
  • Bachelor's Degree required. Accounting or Finance preferred.
  • Three (3) years of collection experience in a higher education institution, preferred.
    Required Knowledge, Skills and Abilities
  • Excellent organizational, communication, negotiation, and problem solving skills.
  • Ability to work under pressure and meet deadlines.
  • Ability to prioritize and work on multiple assignments.
  • Ability to handle irate and difficult clients (students).
  • Ability to be firm while tactful, fair and courteous.
  • Knowledgeable in skip tracing techniques.
  • Proficient in preparation of worksheets using Excel.
  • Knowledgeable in collection processes, collection laws and regulations.
  • Proficient with ten-key by touch and other office machines.
  • Uses various software applications, such as spreadsheets, relational databases, statistical packages, and graphics packages to assemble, manipulate and/or format data and/or reports.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from groups of students, managers, clients, customers, and the general public.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
