The Senior Registrar is responsible for the supervision and management of all administrative and operational functions of the Office of the Registrar. The Senior Registrar ensures the integrity, accuracy, and security of all academic records of current and former students; facilitate effective student registration and enrollment; and maintains up-to-date course schedules. The Senior Registrar supervises the processes for the articulation of transfer credits, graduation and certification of degree and certificate program, SEVIS certification, enrollment and degree verification, production of official transcripts, diplomas, and commencement ceremonies. The Senior Registrar counsels and advises students, faculty, and staff on questions relating to academic records; and interprets and enforces policies and regulations of the institution and FERPA. The Senior Registrar is responsible for making sure that pending graduates are determined prior to the start of each quarter and communicated out to campus leadership and Student Services to assist in the scheduling of the final term and any adjustments that need to be made to ensure successful completion of graduation requirements with the highest degree of accuracy. 

 I. OBLIGATIONS OF THE REGISTRAR 

Hours: The Senior Registrar is a full-time employee. Full-time employment is based on 40 hours per week of day and/or evening hours. The regular schedule should include hours which allow both day and evening students access to the Registrar. 

Administrative Duties: 

  1.  Provide quality student service in the areas of advisement and registration as needed. 
  2. Supervise and maintain accurate and confidential academic student records including receipt and/or issuance of transcripts & GED certificates, acceptance of transfer credit, and maintenance of accurate South College transcripts. 
  3. Ensure all procedures using the institutional administrative records systems are completed accurately and timely. 
  4. Ensure that all admissions policies have been met by admitted students. 
  5. Ensure procedures for security of academic student records are following appropriately and consistently, including FERPA policies and procedures. 
  6. Lead creation and publication of quarterly course schedule, maintaining four future quarters in draft form at all times. 
  7. Organize the registration and pre-registration process, working with advisors as appropriate. 
  8. Ensure that class sizes remain within established limits and manage wait lists. 
  9. Supervise preparation and maintenance of required attendance and academic participation posting procedures. 
  10. Complete student withdrawals and graduation procedures as per the schedule established by the college. 
  11. Supervise the grade submission and posting process at the end of each quarter. 
  12. Assist with admission testing as needed. 
  13. Attend all faculty meetings. 
  14. Supervise ordering of all caps/gowns and diplomas for graduation ceremonies. Assist in all other graduation preparations and arrangements as requested by the EVP/Provost. 
  15. Assist in institutional research and data collection as instructed by supervisor and/or the EVP/Provost. 
  16. Assist in determining college policy and curriculum changes when requested. 
  17. Assist in budget preparation for the office. 
  18. Adhere to all college policies as described in the job description, employee/faculty handbook, or other separate guidelines. 
  19. Other duties as deemed necessary. 

II. OBLIGATIONS OF THE COLLEGE 

  • Salary shall be paid on the 15th and last day of each month and is based on aforementioned hours. Salary reviews shall be conducted annually with the supervisor.
  • Insurance: Full-time employees are eligible for health and life insurance benefits. Specific information can be obtained from the business office. 
  • Holidays: All national holidays indicated in the college calendar are paid. 
  • PTO: After one year of employment, full-time employees have 15 available PTO days to be taken annually (Years 1-4). At the fifth-year anniversary, this increases to 20 days annually (Years 5-14). At the 15th year anniversary, this increases to 25 days (Years 15 ). Time not used prior to the anniversary date is forfeited. There is no monetary accrual. 
  • Promotional Increases: Promotional increases will be awarded when the duties and responsibilities are increased, or a job elevation has occurred. 
  • Retirement: Full-time employees may be eligible to participate in the institution’s 401(k) plan. Consult the business office for more information

  • Experience: 2 to 5 years' experience in the role of a campus Registrar 5 or more years' experience in higher education environment
