MEDICAL RECORDS COORDINATOR

Summary/Objective
In keeping with our organization’s goals, the primary purpose of the Medical Records Coordinator is to oversee all health information records for the residents at the facility. Organize, distribute, and purchase supplies as needed.
Job Duties
- Maintain resident medical records and management of electronic medical records (EMR) system
- Review medical records and assign correct codes in the EMR system for documents
- Scan and upload print documents to the resident’ EMR chart
- Coordinate proper documentation and record uploads with facility staff, medical director, and treating practitioners and providers in the EMR system
- Ensure that complete resident records are processed and managed from admission to discharge
- Maintain regular audit systems to ensure the integrity and completeness of EMR charts
- Respond to medical and financial records requests from residents, family members, regulatory agencies, law firms, insurance companies, and medical providers and hospitals
- Scan documents/files to the EMR system
- Respond to emails and telephone calls punctually and complete tasks as directed
- Keep log of completed tasks as necessary
- Maintain compliance to all personnel policies and facility policies and procedures
- Ensure that State and Federal regulations and standards (privacy and confidentiality) are followed
- Protect resident privacy rights and confidentiality in accordance with HIPAA and Long-Term Care regulations and applicable laws relating to the position
- Proficiency in HIPAA and the facility’s HIPAA policy and procedures
- Flexibility to change job functions as needed or directed
- Follow guidance as instructed by supervisor
Supervisory Responsibility
There are no supervisory responsibilities for this position. However, the position requires communication with and oversight of nursing home staff to ensure that specific policies, procedures, and systems are maintained correctly as it relates to the department.
Required Education and Experience
- High school diploma or GED
- Strong utilization knowledge of Point Click Care
- Computer literacy skills (Microsoft Outlook, Microsoft Office, Internet) and familiarity with various online and software platforms
- Experience with electronic health records or similar electronic record systems; prior experience in long-term care and rehab is preferred
- Familiarity with medical records, medical terminology, and basic anatomy & physiology

Position Type and Expected Hours of Work
This position is within a healthcare facility that operates every day. Although this is generally a Monday through Friday position, there will be scheduled times of work on the weekends and holidays. Significant events can occur at any given time that require working. Ongoing direction and support may be necessary if systems are not properly implemented, continuously improved, and monitored.
Work Environment and Physical Demands
This position generally will require physical activity. It may at times require walking to various locations within a facility. This position routinely uses standard office equipment such as computers, phones, photocopiers and may require some use of machinery consistent with the job duties.
While performing the duties of this position, the employee is regularly required to talk and hear. This position at times requires the ability to walk, sit, use hands, reach, climb, stoop, bend, kneel, twist, and lift as necessary.
