Sola Staffing, LLC is Hiring a Payroll Specialist Near Colorado, CO

Regular Payroll Processing
  • Obtain hours, deductions, other pay, etc. from clients and communicate with clients to ensure all questions/tasks for payroll are clear.
  • Input payroll into payroll software, run reports to check for accuracy and ensure all deductions, other pay, and accruals are calculated correctly. Watch for errors and out of the normal items and communicate with the team and/or the client as necessary.
  • Confirm and understand the garnishment calculation and processes for debt-related garnishments vs. child support garnishments. Understand the paperwork required for each and ensure that payments are remitted appropriately.
  • Confirm and understand all other deductions that are typical of small businesses (retirement contributions, retirement loan repayments, insurance, advances, etc). Ability to calculate these deductions independently from the software to ensure that the deductions are accurate for each employee and paycheck processed.
  • Process direct deposit of employee paychecks and/or print paychecks and deliver to clients timely via courier.
  • Confirm payroll tax totals and process payments for payroll taxes timely.
  • Communicate cash requirements for payroll with clients via email or phone call (personal communication required – not just sending the client the reports and expecting that they can interpret them).
  • Be able and happily willing to review and explain payroll reports with the clients as needed and at the request of the client or supervisor.
Termination Checks, Bonus Checks, Etc.
  • At the request of the client, be able to efficiently calculate and complete the processing of any termination checks, bonus checks, forgotten hours, etc.
  • Understand the turnaround time for termination checks and be able to communicate that timeline with the client.
  • This includes deductions, taxes, other pay, etc. as would be processed with a normal payroll. Communicating with the client if these items are the same as a normal paycheck or if they need to change based on the situation. Clients rely upon us to assist them with this determination – so a full understanding of each deduction/other pay and the applicability in different situations is key to being able to provide our clients with guidance.
  • Either processing direct deposit, writing and delivery of physical checks, or working with the client so that they can issue the check directly. Understanding the processes for each and ensuring that the payment is properly recorded into the payroll system and that the client has all needed reports, stubs, termination documents, etc.
  • Understand the internal processes needed to follow for completing this payment as an entirely separate payroll or as a check that will be reported on the next regular payroll period.
Quarterly Payroll Report Preparation & Tax Remittance for Colorado payroll clients:
  • Reconcile payroll reports and the ledgers to the payroll tax returns – ensuring the accuracy of the reports being generated by the software. Knowing when they are inaccurate and being able to research to figure out why there is a discrepancy. This will require knowing the difference between pre and post-tax deductions.
  • Know all due dates of all payroll tax deposits and payments.
  • Once reports are deemed accurate, file each report with the various government agencies and process payment. Ensuring that payments are processed on time and accurately for each tax for the period.
  • Communicating with the client the various tax payments and dates of payment that will be drafted from their account (personal communication).
  • Willingness and ability to review and discuss quarterly reports, taxes, etc. with the client as needed.
Misc. Duties Are As Follows
  • Using appropriate saving conventions for documents. Saving the correct files in the correct locations.
  • Assisting clients (owners/managers) with the online portal and document downloads.
  • Assisting employees with online portal and paycheck stub retrieval.
  • Providing various payroll reports to clients as necessary.
  • Completing workman’s compensation audit documents, communicating with client or internal accounting staff about various items needed, and ensuring reports are completed and filed on time.
  • Assisting clients and internal staff as needed with any questions, reports, etc. Being able to research answers as necessary.
  • Davis Bacon payroll and reports
  • Multi-State payrolls
  • Completing continuing education to ensure payroll taxes/credits/laws are understood and all clients are compliant.
  • Continued utilization of software (Apex) to make current processes better.
  • Assist with providing additional services and payroll packages to clients. Our software is still “new” to us, and we are not using it to its full capabilities. Opportunities exist for the employee who is willing to help us with utilizing our software to its full potential.
Qualifications
  • 1-3 years of payroll processing, 941/940 report preparation, and CO payroll tax reporting preparation
  • Experience with MS Excel, Word, and Outlook
  • Unique aptitude for figures, organization, details, and problem-solving
  • High level of professionalism, energy, and positive attitude
  • Organized and dependable self-starter that can manage and prioritize multiple tasks and projects
  • Proficiency with Apex/IRIS Payroll or I Solved Network Payroll
