International Administrative & Professional Development Assistant

*This is a hybrid position that is based in our Chicago/O’Hare Area office. Applicants must live within a 100-mile radius of home office to be considered for the role.

Your Purpose: 

As the International Administrative & Professional Development Assistant you will support the success of the International Department, by performing tasks in the following broad areas: administration, logistics, financials, and events/professional development (PD).

What You’ll Do: 

  1. General Support:
    • Point of contact for International Department administrative activities.
    • Manage expense submission, credit card statements, and volunteer expenses.
    • Process invoices for remote offices (Hong Kong, Beijing, China, Dubai, Singapore).
    • Schedule meetings/calls, book travel, and prepare itineraries.
    • Maintain international committee, task force, and volunteer rosters.
    • Develop online surveys, draft mass communications, and manage contracts.
    • Oversee global travel safety protocols
  2. Canadian Strategy Support:
    • Assist with logistics, promotion, post-event surveys, and reporting for Canadian PD events.
    • Collaborate with IT on monthly reports for volunteer, member and candidate numbers.
    • Provide support for committee meetings (quarterly).
  3. International PD: 
    • Setup PD events and updates in Personify.
    • Act as a main contact for Customer Service on International PD event questions.
    • Assist with RFP and contract management in Agiloft.
    • Manage pre-event and post-event tasks for international events.
    • Assist with webcast hosting and manage international webcast recordings. 
  4. Ambassador Program:
    • Update Ambassador country pages and listserv emails.
    • Provide support for town halls and oversight of committee calls.
    • Collaborate with marketing and communications on region-specific announcements. 

What You’ll Need:

  • Associate’s degree in a related field or equivalent experience 
  • 3-5 years experience in a similar role
  • Ability to work a flexible schedule outside of normal working hours
  • Advanced knowledge of Microsoft Office Applications (Word, Excel, PowerPoint, Outlook)
  • Strong organization and prioritization skills
