Bell Lead

Reports to: Guest Services Manager and Residences Director

Supervises: Bell Persons

Classification: Non-Exempt

Job Summary

Extend the welcome and courtesies of the Snowmass Club. Supervising & directing the Bell team in the handling of Owner/Guest luggage, personal items, and Owner storage bins; managing transportation schedules as well as Snowmass Club & Local information. Oversee vehicle cleanliness and maintenance, inventory of supplies, and the cleanliness of the entrance and the Bell Closet. Enforce uniform and service standards.

Essential Functions

Guest Service

  • Greet arriving guests and welcome them to the Club. Assist guests from vehicles. Open the entrance doors and direct guests to Reception Desk. Unload guest luggage, skis and vehicles, tag luggage if necessary.
  • Able to meet routine members and guests needs including shuttle services and luggage transport.
  • Communicate efficiently and effectively with owners and guests.
  • Communicate efficiently and effectively with the Front Desk, Concierge Desk, Housekeeping and all other departments in a friendly and professional manner.
  • Knowledge of and ability to perform required role during emergency situations.
  • Maintain a groomed and presentable appearance in compliance with grooming standards.
  • Oversee transportation schedule and driver allocation.
  • Ensure that all vehicles are in compliance and up to safety and maintenance standards.
  • Working within current Bell Team Operations Standards

Supervision

    • Oversees all Bell Persons when in your scheduled Bell Lead shift:
      • Holds them accountable for each shift.
      • Follows up on missed items.
      • Who/What/When/Where/Why: always is in the know about any items relating to the department & property.
      • Responsible for collecting and holding accountable the completion:
          • Bell Tracking Card
          • Door stopper
          • In-house listing
          • List of Weekly Events
          • Earpiece.
  • Communicates requirement for progressive discipline to the Guest Services Manager, Residence Director and HR.
  • Responsible for directing and coaching of colleagues in the moment.
  • Supervise valet parking.
  • Maintain the smooth flow of traffic in the parking circle and entrance drive. Prohibit unauthorized parking in the circle and the entrance.

Creates Efficiencies

    • Constantly looks for ways to improve the department:
      • Open to new ways of processing the workflow.
      • Trains staff as polices are updated and holds them accountable.
    • Maintains all areas of responsibility of the Bell Department:
      • Ski room
      • Owner storage
      • Bike rooms
      • Backoffice storage
      • Package closet
      • Loading dock
      • Vehicle shuttles are clean, washed, vacuumed etc.

Communication

    • Effectively communicates with all Bell colleagues on polices & procedures.
    • Communicate day-today happenings via the end of shift email.
    • Provide light concierge services for guests- answer questions about town; provide recommendations for restaurants, etc.
    • Provide directions or general information to owners/guests and patrons. Knowledge of all hotel services, hours of operation, daily functions, locations, and times.
    • Always keep your radio/bell phone on and respond to all calls in a timely manner.
    • Holds team responsible for items they are required to be knowledgeable in
      • Arrival/departure stats
      • In house guest list on person
      • Luggage/Task tracking sheets (filled in and filed daily)
          • Club Events/Hours of operation
          • F & B specials/Music schedule
      • Local events
    • Updates managers with relevant information
      • Vehicle issues/accidents
      • Guest challenges
      • Employee challenges

Inventories/Records

    • Ensures all required supplies are ordered, with a backstock.
    • Maintains organization of supplies.
    • Maintains Key Watcher records.

Organizational

  • Provide guest transportation to and from the Aspen Airport, while following all applicable laws.
  • Polish stainless steel bell carts and clean windows at the entrance as needed.
  • Organize and execute owner bin delivery and removal. Communicate with the Front Reception Desk regarding the availability of owner/guest rooms prior to bellmans departure to the airport.
  • Follow and complete daily checklists provided by the Guest Services Manager.
  • Responsible for turning up and down lighting and turning on the music at the appropriate time of day per the Standard Operating Procedure (SOP).
  • Do consistent walk-throughs of all areas of the property; pick up trash and debris, clean/arrange furniture, empty trash cans, etc.
    • Make sure walkway areas are clear of ice, snow, leaves, and trash.
  • Assist Front Desk with phones or guests as needed. Transfer phone calls and report any important information to the Front Desk. Assist with check-ins, programming key cards, and collection of credit cards if required.

Qualifications


Education and/or Experience

Previous hotel experience preferred. Excellent command of the English Language. High School diploma or GED equivalent preferred. Ability to multi-task and to control a busy environment. Strong knowledge of Aspen and Snowmass areas. Residence in the Aspen area of six months to one year.

Other Functions

  • Provides information to members and guests regarding operation of room features and transportation.
  • Runs errands for members and guests.
  • Assist with any other job duties/tasks as needed.

Licenses and Special Requirements

  • Valid driver license with a clean driving record.
  • Snow driving experience preferred.

Physical Demands and Work Environment

  • Ability to exert maximum muscle force to lift, push, pull or carry objects.
  • Ability to coordinate the movement of arms, legs, and torso together when the whole body is in motion.
  • Occasional stooping, crouching, and reaching.
    • Ability to use abdominal and lower back muscles to support part of the body repeatedly or continuously over time without experiencing undo fatigue.
    • Ability to bend, stretch, twist, or reach with the body, arms and/or legs.
  • Ability to exert oneself physically over long periods of time without getting winded or out of breath.
  • Ability to lift up to 80 pounds.
  • Continuous standing/walking.
  • Constant handling, talking, hearing, and seeing at near and far distances.
  • 50/50% inside/outside in summer/winter.
    • Will occasionally experience wet/humid conditions, and poor weather conditions.
