About the Position

Join our team as an Office & Customer Service Assistant and play a key role in maintaining the seamless functioning of our headquarters.

You'll be the mastermind behind organizing and coordinating office administration, emphasizing efficiency, effectiveness, and safety.

Along with office assistance, this individual will be responsible for providing customer service assistance via online ticketing system with direction from the marketing department.

You'll serve as the go-to person for both internal staff and external visitors. We're on the lookout for a candidate who is not only organized and proactive, but also flexible enough to support a diverse office environment.

This is a full-time position that is on-site at our Denver office. The hours are 8 : 30a-5 : 00p Monday through Friday. This position is an hourly position.

Responsibilities and Duties

  • Serves as the focal point for all internal and external guests of the Denver Headquarter Office during business hours
  • Point person for maintenance, mailing, shipping, supply orders, equipment management, receiving office invoices, and general errands
  • Works with Department Leaders on special assignments, this may include the following : taking notes for meetings and sharing within 24 hours, training and conducting department specific tasks and assisting, delivering / pick-up samples, as needed
  • Provide support to employees, including responding to inquiries, resolving administrative problems, and assisting with day-to-day needs
  • Completes projects and special assignments by establishing objectives, determining priorities, gaining cooperation of others, monitoring progress, problem solving, and making adjustments to the plan
  • Coordinates with IT Contractors on all office equipment and software matters
  • Manages relationships with vendors, service providers, and landlord; manage contracts and price negotiations with office vendors and service providers
  • Responsible for office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, and supply requisitions are reviewed
  • Remains up to date on technical and professional knowledge by attending educational workshops, joining professional associations, building networks with fellow professionals and reviewing of industry publications
  • Participates actively in the planning and execution of company wide events and staff activities - this includes the all company meetings, local / remote events, assistance with Vermont events
  • Ensures the security, integrity and confidentiality of all data
  • Monitors and maintains office supply inventory
  • Develops intra-office communication protocols and streamlines administrative procedures
  • Designs monthly newsletter for all locations by the 1st of each month
  • Decorate the office for each holiday
  • Maintains and updates records as needed, including office contracts, employee files, and other important documents
  • Assist in onboarding new employees, providing them with office-related training and resources
  • Oversee the layout and arrangement of office space, ensuring it's conducive to productivity and comfortable for staff

Customer Service Assistance

  • Support in-bound customer service needs via our online ticketing system
  • Respond in a timely manner with a high degree of customer service
  • Coordinate with e-commerce fulfillment teams on customers inquiries related to order cancellation, product swaps & more
  • Follow Customer Service SOPs to ensure consistent service to all customers
  • Help troubleshoot and develop appropriate responses to new customer inquiries that arise.
  • Other duties as assigned

Qualifications and Skills

  • Ideally some office experience, not required
  • Experience exercising discretion and confidentiality with sensitive company information
  • Excellent organizational skills with an ability to think proactively
  • Excellent communication and people skills
  • Proven office management, administrative or assistant experience
  • Excellent time management skills
  • Ability to multitask and prioritize work
  • Ability to adapt to changing situations and pivot when needed
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Proficient in MS Office, Google Drive, and Apple software and hardware
  • Computer skills and knowledge of office software packages
  • Associates degree in Business Administration or similar experience preferred
  • Proactive personality that searches for ways to improve and assist all entities
  • Proficiency in resolving conflicts and addressing issues in a professional and timely manner
  • MED (Marijuana Enforcement Division) badge helpful, but not required on start day (we can get you one after)
