About Vendor Management

The Vendor Management team is responsible for managing complex contracts, direct vendor relationships, and vendor oversight compliance. This team is responsible for providing necessary information and consultation to Senior Business Leaders & functional partners to support the management of their vendor population and enable data-based decision making.

The Role

As a Vendor Management Associate, you will be a part of the Vendor Management Team and be responsible for collaborating with Senior Business Leaders & functional partners to provide support to vendors and the firm’s strategic Senior Advisors. The position reports to the Head of Vendor Management. The firm’s Senior Advisors are generally senior executives that bring unique skillsets to bear with the firm and the firm’s funds and investments.

Core Responsibilities

    Provide Senior Advisors support which includes:
      Responding to inquiries
      Onboarding new advisors
      Reviewing and tracking invoices and developing comprehensive time tracking reports used for expense allocation purposes
    Interact and communicate directly with Senior Advisors to ensure requests, inquires, and support needs are being handled in a timely manner
    Maintain senior advisor database, contracts, and supporting documentation related to Senior Advisor approval process
    Partner with Compliance and Legal to monitor advisor contract extensions, renewals, amendments, and terminations
    Build and maintain effective working relationships with Senior Advisors and provide exceptional customer service support
    Participate in the creation of controls, checklists, policies, and procedures related to Senior Advisors and Vendor Management processes
    Serve as a central liaison between the Vendor Management Team, Investment Teams, Core Team (e.g., Legal and Compliance Tax, Technology) and other key stakeholders to execute and streamline the Senior Advisor process
    Manage ad hoc miscellaneous projects as necessary (process improvements, internal audits, regulatory support)

Preferred Qualifications

    3-5 years of proven experience in vendor management
    Self-starter who requires little direction
    Ability to multi-task and maintain composure in a high-volume environment
    Strong sense of urgency; ability to execute quickly and efficiently with strong attention to detail
    Strong verbal and written communication abilities
    Structured problem solver who is able to synthesize sophisticated information from a variety of sources into implementable recommendations and solutions
    Ability to collaborate effectively across multiple teams
    Strong prioritization and project management skills
    Comfort working in a high growth, iterative environment
