Job Summary
The Assistant Director of Operations for Nursing is a key member of the College of Natural, Behavioral and Health Sciences (CNBHS) Operations team, with a focus on the School of Nursing (SON). The SON is a complex part of CNBHS' portfolio, with large programs at the undergraduate and graduate levels in both on-ground and online modalities, and extensive operational needs. Reporting to the Director of Operations for CNBHS, the Assistant Director of Operations oversees day-to-day operations in the SON, driving best practices to ensure efficiency and sustainability, as well as to advance excellence in the delivery of services to students, faculty, and staff.
The Assistant Director is expected to build and foster a collegial and inclusive environment, integrating continuous improvement to ensure organizational effectiveness and efficiency. They will be a leader who is strategic, intentional, and adaptable, as well as a strong advocate. The Assistant Director will thrive in the fast paced, data-driven, and highly energized environment of SON, and be very organized and demonstrate sound judgment. They will take initiative, lead through change, and solve problems.
A critical part of this role is ensuring that the SON's programs are in compliance with accreditation-related standards and requirements, in collaboration with program leadership. As such, the Assistant Director of Operations will be in charge of creating processes and procedures for ensuring that program, student, and faculty related information/reporting is current and well-maintained, and coordinating with other operations staff and University offices. The Assistant Director may also be responsible for supervising student workers and other operational staff within the SON.
Essential Responsibilities
Overall Program Management
Serves as the key SON operational liaison for functional areas across the University, such as the Provost's Office, Registrar, Human Resources, Simmons Technology, and our external technology partner 2U;
Coordinates course projections and scheduling needs for SON programs, in close concert with program leadership, Academic Advisors, Admissions, and the Registrar's Office;
Oversees Clinical Decision-Making (CDM) compliance, section placement, faculty licensure requirements, and clinical site visit assignments for Graduate Nursing; and
Consults with leadership on key operational initiatives and makes recommendations on issues impacting SON programs, such as policies, class size, scheduling, and teaching assignments.
Budget/Finance
Assists the Director and Operations Specialist with oversight & management of the annual budgeting and planning process for SON;
Consults on budget and finances as needed and manages large operational elements of the SON budget, including the Immersion Weekend and Clinical Site Visit budgets;
Ensures that purchasing and expenses within the SON follow proper procedures and are fiscally responsible; and
Helps align SON resources with leadership objectives and goals.
Communications
Helps develop and oversee communications plans in the SON, to ensure that information is effectively disseminated across SON stakeholders;
Oversees website revisions related to the SON, in concert with the University Communications and Admissions team; and
Coordinates SON Newsletters, key communications, and public-facing messaging in collaboration with program leadership and University Communications.
Event Planning
Develops and implements best practices for the SON to execute successful online and in-person events;
Helps oversee immersive experiences for SON students, including bootcamps, ceremonies, town halls, and Immersion Weekends; and
Participates in the University-level planning and execution of virtual and in-person commencement ceremonies for SON students.
Accreditation & Compliance
Serves as an operational point of contact for SON compliance-related inquiries;
Translates accreditation and compliance-related requirements for the SON into implementable and sustainable operational processes;
Partners with faculty leadership and 2U's compliance team to manage internal databases and ensure SON programs remain compliant, as overseen by program leadership;
Works closely with the Operations team and program leadership to prepare SON reports and assessment required by external accreditation and oversight organizations;
Oversees various processes related to graduating SON students (including Certificate of Graduation/NCLEX and credential/degree verification requests) to ensure timely and compliant responses to requests;
Oversees Affiliation Agreement processing in collaboration with SON Clinical Teams; and
Provides oversight on SON clinical site visit assignments to ensure compliance.
Hiring Operations
Manages procedural and compliant best practices for hiring, onboarding, and deployment of SON faculty and staff;
Supports the contracting process for full-time, proportional, and adjunct faculty throughout the SON, in close collaboration with the Operations Director, SON CLinical Team, Provost's Office, and HR;
Helps ensure that SON hiring aligns with available budget; and
Helps track teaching load for SON faculty to ensure that contract terms are met, and that decisions are made in compliance with University and CNBHS policies.
The Assistant Director will have other duties as assigned by the Operations Director, Associate Dean of Nursing, and CNBHS Dean.
Qualifications & Skills
Bachelor's degree required, Master's degree preferred;
Minimum 3-5 years of professional work experience, preferably with a minimum of 1-3 years in position(s) involving a significant volume of progressive operational and project management responsibilities;
Excellent communication skills with diverse stakeholders and ability to leverage interpersonal skills to establish rapport and develop relationships;
Demonstrated leader with experience managing with integrity and influence and holding constituents accountable;
Excellent organizational skills with particular ability to prioritize work in an environment with multiple and competing interests;
Strong business acumen and previous budget oversight experience;
Ability to implement and manage change, creating an environment that addresses individual and organizational change management needs;
Strong strategic thinking, project management skills, attention to detail, and ability to proactively identify opportunities and risks;
Demonstrated ability to prioritize and sequence projects and action items, identifying the resources required to achieve both short and long-term goals;
Proven ability to perform duties with a high level of professionalism, flexibility, discretion, judgment, diplomacy and tact; and
Proficient with Microsoft (Word, Excel, and PowerPoint), Zoom, and Google Applications (Drive, Gmail, and Gcal), along with an aptitude and interest in learning new tools and software.
Terms of Service: This is a full-time exempt position that is benefits-eligible. Occasional evening or weekend work may be required. This position may be eligible for partial or full remote work.
