About The Position

The Guest Relations Manager is responsible for inviting all guests and overseeing all aspects of their visit to the Festival. This position supervises the Festival Guest Relations Coordinator, Festival Guest Relations Transportation Coordinator, Festival Filmmaker Services Associates, as well as festival volunteers. Reporting to the Artistic Director, the position works as an integrated part of the Guest Relations team to provide consistently excellent guest experience.
Dates of Employment: March 4 - May 31, 2024
Reports to: Artistic Director
Primary Supervisory Responsibilities: Festival Guest Relations Coordinator, Festival Guest Relations Transportation Coordinator, Festival Filmmaker Services Associates, as well as festival volunteers

Primary Roles and Responsibilities

  • Oversee of the Guest Relations Staff, including the Filmmaker Services coordinators, Guest Logistics Coordinators, and department associates
  • Manage tracking documents for Guest information
  • Manage the Guest Relations budget
  • Work with Artistic Director and Associate Director of Festival Programming regarding guests to be invited
  • Invite all approved guests to the Festival, answering guest questions & getting confirmation before passing them along to the Filmmaker Services Coordinators
  • Oversee travel arrangements, reimbursements, and ground transportation for all out-of-town guests
  • Capture information for database on all local and/or guests coming “on their own”
  • Work with the Box Office on the pass and accreditation needs of all guests and industry attendees
  • Oversee all aspects of the Festival cars, including insurance, car delivery, maintenance, and parking
  • Oversee hospitality for guests coming to the Guest Office
  • Create invitation lists and inviting all guests to “filmmakers dinners”
  • Invite guests to appropriate special events 
  • Be on call 24/7 during the Festival to answer questions & troubleshoot

Qualifications

  • Two – three years experience in coordinating and overseeing large numbers of attendees for an event
  • Two – three years experience in a management position
  • Prior experience in some aspects of Film Festivals is preferred
  • One - two years experience with accommodating, scheduling, and coordinating domestic and international travel 
  • One - two years experience managing volunteers or interns
  • Proficient using Google Drive and G Suite
  • Must be 21 years of age or older

  • Pay keen attention to details, a love for excel spreadsheets, and a disposition for a fair amount of screen time in front of a computer
  • Community arts, festival and/or non-profit experience is a plus
  • Experience with Filemaker Pro database and/or Shiftboard scheduling software is a plus

  • This is a temporary full-time, hourly position
  • This is an FLSA overtime non exempt position (Overtime rates are 1.5x hourly rate)
  • Employees have access to discounts and passes to year-round and Festival programming
  • This position is not eligible for healthcare or other benefits
Pay Rate: Hourly. $23/hr
Work Environment: This temporary position will work onsite at our Seattle office and specified event spaces.
Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to interact with patrons and coworkers, sit and stand for extended periods of time, physically assist patrons when needed, and lift up to 25 pounds. Reasonable accommodations will be made to enable individuals with disabilities to perform the essential functions.
