Sharon Ozuna LLC is Hiring a Remote Executive Assistant - Southey Real Estate

We’re looking for a confident and assertive Executive Assistant to support our top producing agent. For this role, being able to anticipate the needs of your leader and stay one step ahead are key. You’re highly organized and solution based. You thrive in a position that has a mix of client interaction and independent work. You are self motivated and accountable. And you also enjoy a role where you can lead your leader, keeping them accountable to their goals and priorities.

This is a full time, salaried, remote position. Schedule is Monday-Friday with occasional weekend or evening hours. Pay is $45,000-$60,00 per year and benefits are paid time off.

EXECUTIVE ASSISTANT PRIMARY RESPONSIBILITIES

Executive Support and Business Administration:

  • Phone, calendar, and email management, removing obstacles from the agent’s path and being a gatekeeper
  • Hold agent accountable for conducting all agreed upon lead generation activities
  • Ensure that all agent activities are limited to listing property, showing property, negotiating contracts and lead generation
  • Play an essential part in continuing to build the business
  • Maintain and uplevel systems, checklists, and procedures to ensure the smooth and efficient operation of the office; manage and maintain office procedures manual focusing on efficiency, consistency, clarity, and customer service
  • Track and report production and expenses
  • Manage all vendor contracts and relationships

Client and Database Management:

  • Establish communication with clients early in the process, acting as the go-to problem solver ensuring consistent communication and administering tracking to ensure no client or prospect falls through the cracks
  • Maintain contact and provide updates to clients on a weekly basis
  • Coordinate listing process from pre-listing activities through contract
  • Manage CRM database in real time to prepare agent for upcoming lead gen and communication tasks
  • Call database to obtain testimonials, reviews, and referrals

Marketing:

  • Ensure on-time execution of all marketing campaigns
  • Manage marketing vendors to achieve set objectives
  • Oversee all social media platforms and website
  • Seek and provide suggestions for agent brand awareness and development
  • Manage client events and gifting program
  • Coordinate and implement agent video production projects

EXECUTIVE ASSISTANT REQUIREMENTS

  • Ability to hold agent and self accountable to the goals and objective set
  • Exceptional attention to detail, organization and prioritization skills, initiative, and ability to learn quickly
  • Strong technology skills (MS Office, Google Workspace, databases, Canva, social media, etc.)
  • Strong written and verbal communication skills, excellent phone etiquette
  • Ability to maintain confidentiality and understand the importance of discretion and diplomacy
  • Positive, friendly, and supportive attitude; high level of integrity and accountability
  • 3 years of administrative experience, ideally in the real estate field
  • Willingness to jump in and learn
  • Smartphone, reliable vehicle, driver’s license and car insurance
