Description

JOB SUMMARY

The Treatment Plan Coordinator will phase treatment plans, go over treatment with patient, and schedule treatment.

QUALIFICATIONS

Essential Duties

  • Reviews treatment, insurance and financial responsibility with patients along with scheduling treatment.
  • Call specialists to schedule patients who are being referred for treatment outside of our office.
  • Answer telephone.
  • Call in PREMEDS for patients as needed. All PREMED and Blood Thinner instructions will need to be obtained from the patient’s appropriate physician. Scan them into the patient record and create alerts on the patient account.
  • Monitor the schedule and fill appointment openings using the ASAP or Unscheduled list.
  • Run monthly Comprehensive Exams needed list and reach out to patients to schedule.
  • Keep the staff and doctors informed of any scheduling concerns.
  • The Treatment Plan Coordinator will serve as back up for the Front Office Associate when needed.
  • Administer pre-authorization of insurance benefits.
  • Maintains patient confidentiality and takes every precaution to secure electronic Protected Health Information (PHI) under HIPAA.
  • Input and phase treatment plans
  • Present treatment options with patients and schedule appointments.
  • Collect 20% down on large treatment cases and schedule treatment appointments
  • Educate patients about different finance options such as Care Credit.
  • Clean up and reject old treatment plans.
  • Monitor the schedule and fill treatment openings from the ASAP or Unscheduled treatment lists via Dental Intel.
  • Other related duties as assigned.

Requirements

Knowledge/Skills/Abilities

  • Knowledge of English composition, grammar, spelling and punctuation.
  • Skilled in the use of basic office equipment such as: telephones, calculators, copier, fax, computers and computer software (MS Excel, Word, Practice Management software).
  • Ability to be professional and maintain composure when dealing with stressful situations.
  • Ability to cooperatively work with the doctors, co-workers and patients and build relationships of trust.
  • Maintain confidence with the patient regarding doctors and staff.
  • Ability to prioritize, organize and complete tasks timely.
  • Ability to accept constructive criticism.
  • Ability to understand and follow written and verbal instructions.
  • Ability to collect data, establish facts and maintain confidentiality.
  • Ability to communicate and express thoughts and ideas clearly and competently.
  • Ability to quickly grasp relevant concepts regarding duties and responsibilities.
  • Greet visitors and patients professionally and courteously.

Education/ Experience

  • High school diploma or equivalent
  • College Degree preferred
  • Dental experience preferred
  • Dentrix/Eaglesoft experience preferred

Physical/ Environmental Requirements

  • Must be able to lift up to 35 pounds.
  • Must be able to hear staff on the phone and those who are served in-person, and speak clearly in order to communicate information to patients and staff.
  • Must be able to read memos, computer screens, personnel forms and clinical and administrative documents.
  • Must have high manual dexterity.
  • Must be able to reach above the shoulder level to work, must be able to bend, squat and sit, stand, stoop, crouch, reach, kneel, twist/turn.
