Position Overview

Primary Function:

The Child Care Center Manager plays a pivotal role in the success of UCCC. By ensuring the well-being, development, and safety of children, managing staff, and maintaining effective communication with parents and stakeholders, they contribute to the overall growth and positive impact of the childcare center.
UCCC is a state-licensed facility for ages six (6) weeks to five (5) year old children. UCCC includes eight (8) indoor classrooms and three (3) outdoor learning and playground spaces. The Manager is responsible for managing the daily operations and activities of the center. The primary management functions include:
  • Leading teachers as they plan and implement appropriate educational and recreational activities based on the needs and requirements associated with the children within the specific classroom.
  • Managing the enrollment of up to 49 children along with maintaining the needed ratio for classrooms and teachers.
  • Ensuring that UCCC remains compliant with all the federal and state regulations for both the inside and outside classrooms and facility.
  • Maintaining an environment that is safe, welcoming, professional, and inclusive for all children and their caregivers.
The UCCC Manager will report to the Director of Business Services. The UCCC Manager will work to accomplish the duties and responsibilities as outlined in the job description. The Director of Business Services will provide support and direction to the UCCC Manager.

Position Description

Typical Duties & Responsibilities:


Managing the childcare facility:
  • Manage the daily operations and activities of the University Child Care Center (UCCC).
  • Represent the center in a professional, knowledgeable, courteous, and positive manner at all times.
  • Establish and sustain a safe, secure, positive, affirmative, inclusive, and friendly environment for the children.
  • Plan and implement educational, recreational, arts and crafts activities for the UCCC. Encourage age-appropriate learning and socialization to ensure children learn basic skills and concepts, such as communication, manners, sharing, etc.
  • Plan special events, festivals, and holiday celebrations for the UCCC.
  • Develop curriculum, plans, and programs to meet state and federal requirements and parent’s expectations.
  • Review the UCCC manual each year and make recommendations for changes to the Manager of Business Services and Human Resources.
  • Promote and market the UCCC to faculty, staff, and students.

Managing the childcare providers and staff:
  • Recruits, hires, trains, and supervises childcare staff, including teachers and assistants.
  • Provide guidance, support, and ongoing professional development opportunities to ensure a competent and motivated team.
  • Ensure that all background and fingerprint checks have been conducted.
  • Provide clear, open, consistent, and effective communication with UCCC staff. Establish and sustain a positive environment, reasonable expectations, and a friendly atmosphere for the UCCC staff.
  • Manage and resolve conflicts utilizing good communication and listening skills.
  • Set strategic and attainable goals and conduct collaborative reviews for each UCCC staff member.
  • Conduct quarterly provider and staff meetings to review policies, procedures, guidelines, and planning for the UCCC.
  • Manage and coordinate curriculum with staff that complies with state and federal requirements.
  • Ensure providers and staff have a good knowledge of child safety requirements and are up-to-date on first aid protocol.

Working with Parents and Guardians:
  • Effective communication with parents is essential. The manager establishes and maintains positive relationships with parents, providing regular updates on their child's progress, addressing concerns, and soliciting feedback.
    • Communicate with parents and guardians by completing “student sheets” (weekly) which provide information regarding the child’s daily activities and schedules.
    • Provide reliable, accurate and timely information regarding the UCCC to parents, guardians, and staff. Communicate with parents and guardians utilizing the UCCC communications software, email, text, letters, or phone calls.
    • Conduct personal parent and guardian conferences in person or by phone call.
  • Conduct parent, guardian, and teacher meetings as required or when necessary. Discuss ways to address any learning or behavioral issues with parents and guardians.

Budget and Operations:
  • Review the UCCC budget monthly to ensure that the UCCC is on target to meet the yearly budget.
  • Meet with the Director of Business Services quarterly to review the budget, income, and expenditures and make recommendations for the yearly budget.
  • Complete a monthly Google Spreadsheet with each child’s rate, monthly payment information, state payment information, and late payments. This sheet will be emailed weekly to the Director of Business Services.
  • Complete the employee payroll deduction form and submit the form to the Office of Human Resources one week prior to the monthly due date.
  • Collect tuition and lunch fees. Complete a weekly deposit form, and deliver the payments to the Treasurer's Office. Send a copy of the deposit form to the Director of Business Services.
  • Send tuition and lunch bills to parents and guardians each month
  • Evaluate and purchase materials and supplies following the University Purchasing policy. Any purchase over $500 will require Director of Business Services approval.

Compliance with federal, state, and local regulations:
  • Ensures compliance with health and safety regulations, including maintaining proper licensing and certifications, conducting regular safety inspections, and implementing emergency procedures. Maintain accurate records of health and safety practices and address any concerns promptly.
    • Maintain all records, logs, and forms required by local, state, and federal law.
    • Document, train, and display the UCCC safety plan, lockdown procedure, and evacuation plan as required by state law.
    • Maintain all required Childcare Center Application, Nonprescription Medication and Sunscreen Form, TDHS Influenza Form, HiMama Parent Information, HiMama Participation Agreement, and any other required forms.
    • Complete ongoing training and courses to remain up to date on daycare standards and procedures.
  • Work with the University Dining Services and the State of Tennessee to complete the Summer Food Service Program (SFSP) documents.
  • Coordinate and communicate with the Sponsored Research Office to apply for local, state, and federal grants

Maintaining the Facility:
  • Evaluate and work with Facilities Management and the Director of Business Services to maintain the facility. Submit work requests for maintenance and repairs to the UCCC.
  • Review and check all equipment to ensure it is safe and in working condition. Remove any unsafe equipment or hazards.
  • Work with Facilities Management and the UCCC employees to ensure that the facility is clean and orderly.
Other:
  • Perform other duties as assigned.

Machines & Equipment Used:
Requires the ability to use, operate, and/or handle office equipment, such as a computer and printer, copier, calculator, communications equipment, laminator, kitchen, and laundry appliances.

Personal Interaction/Communication:

External:
(Regents & Trustees, government officials or agencies, visitors, parents, other institutions, colleges, or companies, suppliers).
Monthly/Quarterly/Annually: The UCCC will have periodic inspections by the State of Tennessee DHS, fire inspection by the State of Tennessee Fire Marshall, and health inspection by the State of Tennessee Department of Health. These inspections are normally four (4) times per year.

Daily:
The Manager will discuss progress or problems with children with parents and guardians.

Attributes of a Successful Candidate

Education:

  • A bachelor's degree in early childhood education, child development,
  • Or a related field is preferred.
Experience:
  • Previous experience in a leadership role within child care.
  • Or early childhood education setting is highly desirable.
Job-Related Skills:
  • Strong knowledge of childcare regulations, licensing requirements, and early childhood education best practices.
  • Excellent communication, organizational, and interpersonal skills.
  • Ability to lead and motivate a team, fostering a positive and collaborative work environment.
  • Proficiency in administrative tasks, including budgeting, record-keeping, and staff management.
  • Knowledge and understanding of child development principles and age-appropriate curriculum.
  • Familiarity with health and safety protocols and emergency procedures.
  • Dedication to providing high-quality care and education to children.
  • Requires the ability to function in a supervisory/managerial capacity for a group of childcare providers.
  • Work effectively with parents, guardians, colleagues, and children.
  • Ability to make decisions on ethical, procedural, and technical levels.

Computer Skills:
Knowledge of Microsoft Office Products and Google email, documents, and sheets is required.

Licenses & Certifications:

Must be up-to-date on first aid and safety protocols.

  • Discussions with parents and guardians regarding children's progress, issues, and behavior.
  • Meeting and discussions with UCCC staff related to performance, expectations, issues, salary, and personnel records.
Working Environment:
  • 95% UCCC daily operations
  • 5% conducting parent and guardian meetings, maintaining certifications, and completing tasks related to the purchase of materials, supplies, and snacks.
