Sequim Counseling is Hiring an Office Manager for Mental Health Counseling Offices Near Portland, OR

Sequim Counseling is a mental health clinic that provides high quality mental health services both in person and through telehealth. We are looking for a responsible Office Manager to perform a variety of administrative and clerical tasks to oversee expansion to the Portland area. There will be some onsite responsibilities required within 45 minutes of Portland to help set up new office spaces. Responsibilities include managing our scheduling and billing departments; hiring new clinicians; managing current clinicians; evaluating systems/finances to ensure optimal functioning; and collaborating with the director.

Duties may also include scheduling new clients, providing customer service to clients, billing, collaborating with clinicians, and ensuring that the company's needs are met. Our ideal candidate is compassionate, a great team player, a leader, organized, quick-learning, detail-oriented, fast-working, and tech-savvy. You must be very skilled and efficient with the computer in order to be successful in this position. All of your work can be completed at your home and there are flexible hours. You must have a fast, reliable internet access and be very responsive to requests to complete tasks.

This position is full-time.

Responsibilities

  • Manage scheduling and billing departments to ensure high quality customer service and efficient financial systems.
  • Hire new clinicians
  • Manage Payroll
  • Respond to Medical Records Requests
  • Work closely with the director to manage a variety of tasks
  • Manage clinicians and other staff to co-create a heartfelt and efficient work environment.
  • Learn and utilize a variety of online systems including Simple Practice, Google Workspace, Talkroute, and other software.
  • Maintain our website to accurately reflect current clinicians and services.

Skills

  • Leadership and managerial skills
  • Communication- honest, direct, clear, and compassionate
  • Experience as an office manager
  • Experience with mental health billing and managing finances
  • Computer skills- writing emails quickly and kindly, inputting data quickly and accurately, and ability to troubleshoot technical difficulties independently such as figuring out how to filter mail in gmail by googling how to do that.
  • Willingness to learn new skills
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • College degree; Bachelor's degree preferred

Job Type: Full-time

Pay: From $60,000.00 per year
