JOB DESCRIPTION

Summary/Objective

The Operations Supervisor will oversee and plan the daily operations of the organization to ensure goals and objectives are achieved. Primary responsibilities include managing support staff, supporting the management of provider schedules, improving patient access, assisting in streamlining support staff workflows, and tracking metrics for operations

Essential Functions

  • Develop, recommend, and oversee the implementation and administration of policies and procedures of patient intakes, authorizations, and order services.
  • Plans and organizes daily activities related to production and operations.
  • Measures productivity by analyzing performance data, financial data, and activity reports.
  • Communicates and explains new directives, policies, or procedures to leads; for major changes, meets with entire operations staff to explain changes, answer questions, and maintain morale.
  • Evaluate process and procedures and coordinate with the senior management team to ensure efficient patient processing, billing, and adherence to federal and local laws and regulations
  • Focus on continuous improvement working with the Senior Manager and Patient Care Leads across the Health System with a goal of delivering the highest degree of quality service possible.
  • Directs and leads the health care operations team in the daily operations.
  • Projects a positive image of the organization to employees, customers, industry, and community.
  • Determines labor needs to meet production goals.
  • Performs performance reviews and coaching/disciplinary action for direct hires.
  • Participates in interviewing, hiring, and evaluating prospective staff members.
  • Represents Health Care Operations on various committees and teams and in meetings
  • Assists with, or prepares and updates, organizations operations manual and policies.

  • Ensures team has proper equipment and oversees each employee’s operational output
  • Accurate and timely documentation in Brightree and other systems
  • Meets/exceeds call schedule
  • Provides adequate support to field staff
  • Communicates regularly with their respective team on necessary updates, meetings, etc.
  • Oversees deadlines for pending report updates and intervenes as necessary to further communicate urgent needs
  • Effectively communicates to patients and referral sources alike regarding patient education and documentation communication with referral sources I.E. Case managers, dietitians, nurses, referral coordinators
  • Adequately stores patient information in accordance to HIPAA Regulations
  • Maintains presentable appearance
  • Adequately handles call escalations and follow up

This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m. and On-Call
