Administrative Accounting Specialist

The Administrative Accounting Specialist is responsible for the accounting accuracy of transactions as assigned to their position relating to cash receipts, reconciliations, billing, internal control audits and other related fiscal duties. The position acts as a backup for the Accounts Payable position and certain contract management functions within the fiscal department.

The mission of the Senior Friendship Centers is to promote health, dignity, and quality of life throughout the journey of aging. Older adults throughout four counties in Southwest Florida rely on Senior Friendship Centers for help with nutrition, adult day services, social engagement, education, help in times of crisis, and so much more.

Essential Functions:

Operational

  • Prepare Cash Receipts for entry into the General Ledger with proper account coding.
  • Primarily responsible for monthly bank and investment reconciliations for all accounts.
  • Primarily responsible for recording of monthly in-kind entries
  • Record and reconcile prepaid, accounts/expenses
  • Complete billing for EHEAP and County (Lee and Sarasota) contracts
  • Complete copay billing monthly for case managed clients
  • Complete billing for day care services, VA, Private Pay and MLTC
  • Perform internal control audits including but not limited to: cash collection, cash counting, petty cash, purchasing, and inventory.
  • Backup for Accounts Payable, coding expenses and completing check runs.
  • Backup for Contract Management that specifically includes invoicing, tracking, and reporting for services funded through Department of Elder Affairs. Work with Senior Contract Analyst at least semi annually to remain cross trained for the state and federal contract billing
  • Other duties as assigned

Organizational

  • Attend staff meetings, training, and seminars as required.
  • Must comply with all Senior Friendship Centers personnel policies.
  • Must protect the safety and health of staff, volunteers, participants, and others by observing and following the organization’s safety and incident policies.

Qualifications


Competencies:

  • Excellent time management skills with a proven ability to meet deadlines.
  • Must be friendly, flexible, able to handle challenges, and able to work with limited supervision.

Supervisory Responsibilities:

  • None.

Education, Experience, Licenses, and Certifications:

  • Requires an associate Degree in Accounting plus a minimum of two years of accounting experience, or any equivalent combination of training and experience which provides the requisite knowledge, ability, and skills to perform the essential functions of the job.
  • Intermediate computer skills are required.
  • Must be proficient with Microsoft Office Suite, and specifically Microsoft Excel, and have experience with database management and office equipment.

Travel:

  • Travel may be required for administrative tasks.
  • Must have reliable transportation.
  • A valid driver’s license and proof of insurance are required for all work-related travel.

Additional eligibility requirements:

  • Satisfactory clearance of a fingerprint-based, level II background screening and pre-employment substance abuse testing is required.
  • Must be authorized to work in the United States.
