Responsibilities

  • Handle any required documentation coming in from field service and/or construction coordinators.
  • Assist in researching new vendors and comparing competing suppliers.
  • Maintain up-to-date and precise records of orders, shipments, inventory, and reports.
  • Following up with suppliers for confirmation of orders.
  • Place standard bulk orders that do not require approval (especially indirect purchases).
  • Perform administrative assistant work, including making travel arrangements for supplier audits, scheduling meetings with suppliers, maintaining all required documents, storage locations (online), rev controls of all forms in ERP, and handling incoming calls, etc.
  • Can also include Fleet management and administration for a region/BU.
  • Prioritize calls (incoming and backlog).
  • Work with Service Managers and customers to address purchasing issues.
  • Respond to inquiries.
  • Create and distribute required reporting.
  • Maintain proactive communication with customers regarding missed SLAs.

  • Ability to use computer systems (Outlook, Word, Excel).
  • Must have the ability to multi-task and work under pressure.
  • Demonstrated knowledge and skills in purchasing parts for technicians in an assigned service location.
  • Demonstrated ability to document and report information essential for the resolution and effectively communicate with management.
  • Demonstrated ability to problem solve and maintain focus and productivity under pressure.
