At SEC Clinical Research, we perform Phase 2-4 clinical research studies for pharmaceutical companies testing new medicines in respiratory, cardiovascular, and rheumatologic diseases, and women’s health. Our staff, experience, and commitment to quality research helps provide hope for our patients, and guidance for the future of clinical research and medical advancement as a whole. We currently have ongoing and upcoming studies - and we need more help.

We are seeking a full-time Administrative Associate who is self-motivated, takes initiative, and is eager to learn. You must have receptionist/administrative experience – research experience is NOT required, though medical experience is preferred. We will provide all necessary training. The position is 7:45am-4:15pm, Monday through Friday, with paid holidays and benefits.

Competitive compensation commensurate with experience.

RESPONSIBILITES INCLUDE:

The Administrative Associate is responsible for interacting with guests and managing administrative tasks for the research team. Your most important duty is supporting the research staff with any needs they may have.

Duties include but aren't limited to:

  • Greeting patients professionally both in person and on the phone.
  • Managing calendars
  • Notifying staff of patient arrivals.
  • Checking emails and faxes daily.
  • Coordinating and following up on any medical records requests that have been or need to be sent. Ensuring that all are received.
  • Ensure subject payments are properly distributed at the conclusion of each visit.
  • Quickly answering or properly referring questions and issues.
  • Maintaining office inventory and equipment by anticipating supply needs and expediting supply orders on a weekly and monthly basis.
  • Maintaining incoming/outgoing mail and shipments received
  • Assist with overseeing any IT, website, or business operating system issues/updates, and reporting any issues to the proper site personnel.
  • Making weekly trips to purchase/pick up various items needed for the office, or running errands, as needed.
  • Other items as needed

Qualifications:

  • Computer skills & Computer literacy
  • Typing
  • Microsoft Office (Word & Excel)

  • Phone etiquette
  • Organizational skills
  • Administrative experience required
  • Medical office experience is preferred

MUST HAVE Receptionist/Office administrative experience - THIS IS REQUIRED.

Experience with Microsoft Office, including Excel a plus.
