JOB PURPOSE

The Bi-Lingual Export Documentation Coordinator is responsible for preparing the necessary documents for all export shipments, ensuring that all documentation meets export regulations and customer requirements.

RESPONSIBILITIES & TASKS

• Proof, prepare, assemble, and present necessary and timely export documentation required for customs clearance at destination.
• Ability to multi-task successfully between different countries and payment processes.
• Knowledge of FSIS export country requirements.
• Maintains organization/filing of records for all shipments assigned.
• Process letter of credit and collections thru Bank portals.
• Track and trace shipments and communicate information to various recipients.
• Complete timely and accurate submission of Automated Export System filings and shipping instructions to the ocean carriers.
• Reconcile and process payments of vendor invoices timely.
• Maintain and update standard operating processes as required.
• Ability to follow Standard Operating Processes for the department.

REQUIREMENTS

• Prior experience in an administrative, financial or data support role required. Experience with perishable, refrigerated export documentation preferred.
• Must be able to work a fast-paced environment with the ability to plan and prioritize workload to ensure timely completion.
• Critical thinking for the purpose of trouble shooting and problem-solving issues independently.
• Position requires a high level of email organization, attention to detail and follow up to ensure accuracy
• Comfortable working in a constantly changing work environment.
• Experience with AS400 preferred
• Proficient in Microsoft Word, Excel, Outlook, SharePoint
• Verbal and written communication in Spanish is required.
