Department: Operations

Reports to (Position): Community Manager

Employment Classification: Non-Exempt

Pay Scale: $21.00 - $23.00

General Summary: The Leasing Administrator will play a crucial role in ensuring smooth leasing operations, providing exceptional customer service to residents and prospective residents, and assisting with administrative tasks related to leasing and resident relations.

Job Description

Primary Duties and Responsibilities

  • Conduct property tours for prospective residents, showcasing available units and amenities.
  • Respond promptly to inquiries from prospective residents regarding leasing availability, rental rates, lease terms, and community policies.
  • Process rental applications, conduct credit and background checks, and verify employment and rental history.
  • Prepare lease agreements and ensure all required documents are accurately completed and signed by residents.
  • Coordinate move-in and move-out procedures, including conducting unit inspections at move-in.
  • Prepare Renewal letters, leases, and execution of all renewals, ensuring accuracy and compliance with lease agreements.
  • Maintain organized leasing records and tenant files, ensuring all documentation is up-to-date and easily accessible.
  • Assist with scheduling maintenance requests and following up with residents to ensure satisfactory resolution of issues.
  • Manage resident inquiries and concerns in a professional and timely manner, striving to exceed expectations for customer service.
  • Assist with marketing materials and attract new residents, including updating online listings, creating marketing materials, and participating in community events.
  • Collaborate with the Community Manager to implement leasing strategies and achieve occupancy goals.
  • Stay informed about market trends and competitor offerings to effectively position the property within the local rental market.

Qualifications:

  • High school diploma or equivalent; associate or bachelor's degree preferred.
  • Previous experience in leasing, property management, or customer service is highly desirable.
  • Persuasive communication and interpersonal skills, with the ability to build rapport with residents and prospects.
  • Excellent organizational and time management abilities, with a keen attention to detail.
  • Proficiency in Microsoft Office Suite and property management software (e.g., Yardi, CRM, Rent Café).
  • Ability to work independently and as part of a team in a demanding environment.
  • Willingness to work flexible hours, including weekends and evenings, as needed.
  • Knowledge of Fair Housing regulations and leasing laws preferred, additional training will also be provided.
  • Reliable transportation for off-site meetings may be required.
