Unit Secretary (Part Time)

Position Summary
The Unit Secretary (PC) is responsible for the general clerical and secretarial duties of the Personal Care department and maintains current and accurate medical records in coordination with medical staff. The Nursing Secretary must work as part of the team by contributing in a positive manner when approached by any member of the department, a resident, or visitor, etc.
Qualifications
  • High school education or GED
  • Knowledge of medical terminology and 1 year related experience preferred
Knowledge, Skills, & Abilities
  • Excellent communication and organizational skills; strong attention to detail
  • Fundamental computer and clerical skills
  • Ability to adapt to change and be supportive of administration when change is necessary for the good of SRSL and resident care
  • Knows and adheres to all policies, procedures, and industry regulations; i.e. HIPPS, Corporate Compliance
  • Treats residents and coworkers as customers and provides quality service and assistance
Essential Duties & Responsibilities
  • Prepares charts for new admissions
  • Coordinates Zurn Pavilion’s monthly care plan meetings with family, Dietician, and Director of Resident Services
  • Communicates appropriately, clearly and positively with all coworkers, residents, and visitors. Greets families and visitors with positive attitude. Works with nursing staff on special projects as directed.
  • Answers telephone calls in Nurses’ Station, handling each professionally. Dispatches messages to other departments and staff on the unit. Aware of all security systems in the facility and alarms.
  • Maintains organization of the charts, records the name of resident, address and name of attending physician on medical record forms, and closes records when residents are discharged
  • Sends dietary requests, mails verbal order froms to physician for signature. Photocopies signed physician faxed orders and file in the medical record. Inputs information into the computer as directed.
  • Enters face sheet for new admissions and readmissions
  • Makes appointments for resident services in other departments as requested by nursing or physician. Arranges transportation by calling Lift, Emergycare, family , etc.
  • Copies and computes other data, as directed and enters on residents charts.
  • Completes all audits as assigned.
  • Prepares appointment envelopes and places in 3rd shift bin for delivery to residents.
Non-Essential Duties & Responsibilities
  • Attends In service meetings and facility required training classes.
  • Performs other related duties as may be required to meet emergency situations.
Physical & Visual Requirements
  • Stands, sits, walks most of the day. Occasional lifting of up to 25 pounds.
  • Job requires a keen sense of vision (with or without correction) necessary for close inspection and attention to minute details and small objects.
  • The job requires the ability to detect and react quickly to slight motions and/or the ability to distinguish colors accurately.
Hazard Exposure
May be exposed to infection, odors, and psycho-behavioral problems, AIDS, HIV and Hepatitis B viruses
