Preconstruction Coordinator

Location: Atlanta Office – 1400 Union Hill Road, Alpharetta, GA 30005

Reports To: Preconstruction Lead and Sr. Estimator, Zac Miller

Work Schedule:

  • Monday through Friday 8:30 am – 5:00 pm in the office.

Responsibilities:

  • Contract Management:
    • Administer and manage contracts.
    • Provide redundant training to administrative personnel to ensure continuity in operations.
    • Offer notary services as required.
  • Software and System Management:
    • Set up jobs in Computer Ease and Smartsheet, ensuring all details are correctly entered and accessible.
  • Scheduling:
    • Assist in creating schedules for preconstruction meetings, ensuring that all necessary parties are available and informed.
  • Administrative Assistance:
    • Support the Preconstruction Lead in accomplishing a variety of administrative tasks as they arise.
  • Bid Tracking:
    • Serve as a backup for tracking bids, ensuring no opportunities are missed.
  • Task Management:
    • Assist estimators in staying on task, especially with finding "breadcrumbs" that might lead to more significant opportunities or issues.
    • Request quotes as necessary and ensure timely responses.
  • Liaison with OPS (Operations Team):
    • Act as a bridge between the preconstruction team and the OPS (Operations Team).
    • Ensure a smooth transfer of information and support the operations team during the handoff phase.
  • Permitting:
    • Assist with various permitting duties, ensuring all permits are properly acquired.
    • Track and secure permit reimbursements as needed.
  • Training:
    • Provide redundant training in both contracting and permitting duties to other administrators and coordinators. This ensures business continuity and redundancy in operations.
  • License and Education Management:
    • Manage and maintain licenses for the organization.
    • Handle continuing education needs for qualifying employees like Josh Cicero and Jason Garner, ensuring they remain compliant.
  • Miscellaneous Support:
    • Perform miscellaneous "helper tasks" to support the preconstruction team, ensuring all tasks and projects progress smoothly.

Requirements:

  • Detailed knowledge of construction contracts and permitting processes.
  • Proficiency in using software like Computer Ease and Smartsheet.
  • Strong organizational and multitasking skills.
  • Excellent communication skills to liaise with different departments.
