Sandia Resort And Casino is Hiring a DENTAL CENTER ADMIN COORD Near Albuquerque, NM

Position Summary

Coordinates all dental program functions within the Sandia Dental clinic. Coordinates patient records with dentists, dental assistants and contacted dental specialists. Schedules appointments and inputs patient registration information into the patient registration system. Interviews and assesses patient’s eligibility for specialty care. Prepares and tracks dental clinic budget and all spending; prepares professional services agreements and Tribal Council Resolutions. Performs clerical duties and assists with telephone coverage, typing, filing, equipment ordering and receiving, copying and assembling for all dental clinical staff.

Supervision Exercised

Supervised by Health Center Dentist.

Major Duties and Responsibilities

  • Coordinates the patient appointment book and patient flow. Schedules all patients for the general dentist, specialists, contract dentists, and dental hygienists.
  • Greets patients, visitors, and general public, directly face to face or over the phone to provide fast friendly and courteous service.
  • Completes all necessary program and patient paperwork.
  • Coordinates all dental program functions utilizing both IHS and tribal computer patient registration systems. This includes scheduling, patient data, and billing.
  • Ascertains whether the patient has received an explanation of the Health Insurance Portability and Accountability Act (HIPAA), either by direct mail or if they haven’t received the brochure, gives the patient one and acquires their signature on a form to be placed in the medical record.
  • Maintains an individualized recall system for general, hygiene, and all specialty patients.
  • Prepares requisitions for patient specialty needs, maintains spreadsheets, and filing system with eligibility information.
  • Interviews patients to obtain pertinent registration information including dental insurance information and authorizations to enable the business office to bill dental services.
  • Maintains vendor registration data. Orders and receives all clinic supplies. Prepares and maintains an ongoing dental data spreadsheet of supplies ordered and received through Tribal funding.
  • Provides assistance with Health Center phone coverage.
  • Provides administrative and clerical support to the Dentist and health care staff.
  • Performs additional duties and responsibilities as deemed necessary or assigned.

Knowledge, Skills and Abilities

  • Ability to operate general computerized office machines and equipment.
  • Ability to deal effectively with the public and dental clinic staff.
  • Ability to use Windows based software in word processing and spreadsheets.
  • Knowledge of standard office procedures and filing systems.
  • Ability to work independently and efficiently.
  • Knowledge and compliance of privacy/confidentiality requirements.
  • Knowledge of dental billing, patient registration and IHS procedures
  • Must be versatile and able to adapt to changing work assignments.

Minimum Qualifications, Education and Experience

Required:

  • High School Diploma, GED certification or equivalent
  • Two (2) years experience in general office and/or records management in a dental office.
  • Must possess and maintain a valid, unrestricted New Mexico Driver’s License.

Preferred:

  • Academic work

Licensing Status

  • Must be able to successfully pass a stringent background and character investigation in compliance with PL 101.630.
  • Will require a post-offer, pre-employment and random drug screening.

Working Conditions

  • Work is performed indoors.
  • Work hours subject to change with overtime work required.
  • Subject to hazards which may cause personal bodily harm; smoke; diseases; cuts bruises, burns, common cold, influenza, dust, odors and elevated noise levels.
  • Tasks may be performed on uneven, inclined, hard and soft carpeted floors, cement structures and surfaces.
  • Duties may involve walking, standing for long periods of time, sitting and crouching.
  • Specific required movements include the following:
    • Trunk- bend, twist, rotate, push, pull, carry.
    • Arms – reach, carry, lift, twist, and rotate.
    • Legs – lift, push, pull, twist, and rotate.
    • Hands – Grasp, manipulate bilateral coordination, hand and eye coordination, and overall and finger dexterity.
