Sandberg Phoenix is recruiting for a Client Service Coordinator in our Clayton Office

The Client Services Coordinator serves in a firm relations capacity. The Client Services Coordinator fulfills an important role in fostering firm relations, acting as the first point of contact for clients and visitors and cultivates a professional and welcoming atmosphere. The role encompasses managing all front desk operations and providing clerical assistance to the office.

What you’ll do: (a sampling of responsibilities)

Front Desk Management:

  • Greet clients and visitors with a professional and welcoming demeanor, offering assistance when needed.
  • Maintain an organized reception area.
  • Maintain and coordinate conference room and visitor office scheduling.
  • Assist with ordering food and beverage services.
  • Act as a liaison between clients and attorneys.
  • Assist visiting attorneys with clerical and administrative requests when needed.

Administrative Functions:

  • Process incoming deliveries and ensure attorneys and paraprofessionals are promptly notified and deliveries record.
  • Based on inventory from office services, order office and kitchen supplies.
  • Handle the processing of incoming checks and responsible for “petty cash”.
  • Assist legal assistants with special projects to include mass mailings and creation of notebooks to be assigned through the LA Team Leader(s).
  • Coordinate with facilities and Managing Attorney on any facility needs or issues.
  • Serve as the back-up for the Office Services Clerk.

You should have:

  • Proven experience in a customer service or administrative role, preferably in a professional services environment.
  • Exceptional communication and people skills with the ability to interact effectively with clients, attorneys and paraprofessionals.
  • Proficient in Microsoft Office Suite.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize tasks effectively.
  • Strong problem-solving skills and ability to pivot with challenges.
  • Commitment to maintaining the confidentiality of sensitive client and firm information.
  • Collaborate effectively with colleagues across all departments and contribute to a positive working environment.
